The East Bay Spanish Speaking Citizens’ Foundation Youth and Family Services (SSCF) was incorporated as a nonprofit multi-service organization in 1965. The mission of SSCF is to help Oakland families enrich their lives, embrace their heritage, and develop as civic leaders by promoting educational enrichment and civic responsibility.

Program Description:

The Pathways Afterschool Program is a SSCF led program at Lazear Charter Academy in Oakland for students in K through 8th grade. With the support of the Pathways staff, it is our collaborative goal to enhance all students’ level of self-esteem, interest in school and activities, and decision making abilities by providing a positive learning atmosphere for all students. This will be done through homework support and tutoring, enrichment curriculum, and activities revolving around sports and exercise. The title Pathways stems from the idea that all students are on their individual roads to greatness. It is our job to give them options, advice, and assistance in pursuit of this process.

Position Overview:

The Afterschool Program Site Coordinator will manage a comprehensive program at Lazear Charter Academy in Oakland, interacting collaboratively with the SSCF Executive Director and the school site, community, parents and students. The Site Coordinator will ensure a balance of quality academic and enrichment activities and provide a safe environment for children from diverse backgrounds. This is a full time, exempt position, eligible for benefits. Duration of position is dependent on funding.

Duties and Responsibilities:
Program Coordination and Day to Day Operations

Facilitates and oversees the day to day operations and activities of the program.
Design the program and class schedule with input from the school principal, SSCF Executive Director, youth participants and their parents, to create a balance of academic, enrichment and recreational activities that are culturally diverse.
Work with teachers to assure effective lesson planning.
Guides the after school program instructors to provide student-centered, project-based, thematic learning.
In coordination with the Principal and teachers, identify the students with the greatest needs and provide them with access to academic and enrichment afterschool programming.
Conduct outreach to recruit students and families.
Coordinate and supervise staff, including assistant coordinator, instructors, tutors and volunteers.
Ensures the safety of students and staff by enforcing program policies and keeping the afterschool office open until 6:00pm Monday – Friday.
Conduct evaluation of the program, staff and students.
Maintain student records and a database of students’ important information.
Coordinate special events, such as Parent Nights or events showcasing students’ achievements.
Generate monthly newsletter for families, school staff and Lazear community.
Oversee students’ behavior and incidents, and complete all necessary reporting in a timely manner.
Record participants’ daily attendance, and keep attendance and sign-out records.
Serve, monitor and document snacks for participating students.
Communicate with parents about positive achievements as well as problems or issues.
Establish partnerships with other community organizations, public agencies and service providers to strengthen the program and leverage funding.
Serve as a resource to parents, students and staff.
Develop and implement new systems as needed.

Program Administration

Oversee all program administration.
Design and maintain efficient, organized office systems.
Maintain open communication and a strong relationships with the school community:
Meet every two weeks with the school principal
Attend monthly school faculty meetings
Hold parent/family meetings at least 4 times in the year
Work directly with the SSCF Executive Director, meeting weekly or biweekly to maintain thorough communication.
Hire after school instructors and other staff as necessary.
Hold weekly meetings for all program staff (instructors, tutors, etc.).
Keep accurate staff log in, sign-in sheets, and hours.

Compliance with Requirements for OFCY and Other Partners

Ensure that the program is in compliance with the ASES and OFCY grant requirements:
Maintain all records in a highly organized manner for the CPM Audit (as mandated by the California Dept. of Education), under the guidance of SSCF Executive Director
Responsible for meeting the Average Daily Attendance goals, as required by the ASES and OFCY grants.
Manage all reporting and requirements for OFCY, including quarterly reports, data collection, and survey administration.
Attend all mandatory meetings for OFCY and other funding sources.
Communicate information from OFCY meetings, and meetings with other partners, with the SSCF Executive Director.
Track the budget for Prop 49/ASES and OFCY funds, adjusting expenditures to correlate with the earned attendance for the ASES grant reimbursement, if necessary.

Participation in the agency development, as demonstrated by

Attendance at all internal and external meetings and events, to include staff meetings, committee meetings, community meetings, etc., as advised by the Executive Director.
Service on at least one SSCF organizational committee and one key community stakeholder committee on an annual basis, as recommended by the Executive Director.
Participation in all SSCF fund development efforts, special events and other SSCF-related activities, as advised by the Executive Director.

Other responsibilities as assigned by the SSCF Executive Director.

Skills and Qualifications:

Bachelor’s degree or equivalent experience, preferably in education or child and youth development.
Experience coordinating an educational program, including overseeing staff.
Proven ability in designing academic or enrichment lesson plans appropriate for diverse cultures and learning styles.
At least three years of classroom teaching experience or working with children in an educational setting.
Has worked with elementary-aged children, especially at-risk children and/or from racially, culturally, economically and linguistically diverse backgrounds.
Must pass the Department of Justice background screening and TB test.
Must have strong organizational skills and ability to set priorities.
Excellent communication skills and a professional demeanor.
Proficiency in Microsoft Word, Excel, Outlook and Internet.

Salary, Benefits and Terms:

Status: Exempt/Full Time

Reports to: SSCF Executive Director

Pay Range: Commensurate with experience.

Benefits: Eligible for health, dental and vision offered by SSCF, after probationary period.

Start Date: August 3, 2015
