Program Assistant for Training – Liberty Hill Foundation – Los Angeles, CA

POSITION SUMMARY

Provides administrative support for the Program Department of Liberty Hill, with a specific focus on the training and capacity building work of the Foundation. Coordinates workshop logistics and prepares materials. Conducts research and prepares reports, correspondence and other related documents. Maintains records of training participation and outreach.

PRIMARY RESPONSIBILITIES & ESSENTIAL FUNCTIONS

Primary areas of responsibility and tasks that may typically be assigned include but are not limited to:

Training:

Provides administrative support and coordinates logistics for training sessions including reserving venues, placing food orders, preparing materials, tracking attendance, and coordinating communications to training participants, with oversight from Training team.
Maintains records of consultant projects and contracts, with oversight from the Senior Program Manager.
Prepares invoices and processes check requests for department as related to training program, such as for event costs and consultant payments.
Sets up and maintains files including documents and reports from program participants.
Assists with communications between program participants, consultants and program directors, as needed.
Engages in special projects and provides additional support as assigned.

General Departmental Support

Provides general administrative support to the Director of Training for Impact and related programs.
Provides general administrative support including back-up reception coverage, office organization, photocopying, preparing correspondence and mailings, filing, scheduling, transcription and data entry.

REQUIRED KNOWLEDGE & SKILLS

Knowledge of:

Research practices and principles including internet research, surveys, interviews, archives, etc.
Business correspondence creation using proper spelling, grammar and punctuation.
General business principles and non-profit organization management.
Current technology and computer software.

MINIMUM QUALIFICATIONS & REQUIREMENTS

Bachelor’s degree from an accredited college or university is preferred (or equivalent combination of education, training and experience).

One to three years’ experience in administrative support. Experience in a nonprofit setting and interest in social justice issues are preferred.
Computer proficiency in Windows operating system and MS Office software including Word, Excel, Access and Publisher. Ability to operate Internet applications and email as well as proprietary and external vendor programs including database software.

PHYSICAL REQUIREMENTS

Manual dexterity for operating a computer keyboard, printer, facsimile machine, photocopier, calculator and/or ten-key adding machine.
Ability to lift up to 15 pounds.

Ability to sit at a desk or conference table for extended periods of time within an office environment.

NOTE:

This is a 20 hour/week position. Scheduling may vary on occasion depending on training schedules, and will be determined ahead of time with supervisor.
