Payroll / Accounts Receivable Clerk – California Alumni Association – Berkeley, CA

The Cal Alumni Association (CAA) is seeking an experienced Payroll/Accounts Receivable Clerk who will play a key role in supporting the internal operations and infrastructure of our 141 year old organization. The Accounting Department is responsible for ensuring the accuracy of financial transactions, and for providing timely financial information in support of the entire Association. CAA has an annual operating budget of $13M.

SUMMARY: The Payroll/Accounts Receivable Clerk is primarily responsible for processing semi-monthly payroll, and the processing and recording of Accounts Receivable. The Payroll/Accounts Receivable Clerk also performs various clerical duties including maintenance of accounting records, preparation of accounting schedules, and reconciling customer accounts. Some seasonal volume of work may require the Payroll/Accounts Receivable Clerk to provide backup support to our Accounts Payable function.

WORK SCHEDULE: This position is scheduled to work approximately 20 hours per week.

SUPERVISION: Reports to the Controller.

RESPONSIBILITIES:

Payroll Administration (40%)

•Process semi-monthly payroll using ADP Workforce Now payroll software. Collect and proofread all timesheets for accuracy and compliance with California state and federal wage and hour laws; ensure data is accurately and timely entered into payroll software; verify accuracy of Payroll Preview report, and submit to Controller for final review and approval.

•Ensure that all payroll documents and timesheets are accurate, complete, and contain approval signatures. Maintain electronic payroll data and organized payroll files.

•Process mass changes of employee deductions related to annual parking permit renewals, commuter program, and annual open enrollment/insurance rate changes.

•Process manual checks as needed for terminations and update payroll software with termination data/status.

Complete quarterly reconciliation of employee payroll deductions related to parking and commuter program. Submit quarterly EDD statement of wages to unemployment insurance provider.

Produce standard and ad hoc payroll reports using ADP Workforce Now payroll software, including but not limited to monthly paid-time-off balance reports, and 403b retirement plan contributions.

•Create and maintain the annual payroll schedule and timesheet forms for exempt, non-exempt, and student employees.

•Prepare check requests for AP processing of payroll deductions related to wage garnishments. Assist with electronic payment of employee 403b contribution deductions and employer match calculation and payment.

•Assist with annual worker’s compensation insurance audit fieldwork. Prepare payroll documents and reconciliations for annual audit.

•Research and respond to payroll questions and issues including EDD wage and audit requests.

Accounts Receivable 40%

Process departmental invoice requests for facility rentals, travel programs, Cal magazine advertisements, etc., Enter data into Blackbaud Financial Edge accounting system, and generate and distribute invoices to customers.

Investigate and respond to customer inquiries; research and resolve payment discrepancies.

Communicate with CAA departmental staff to ensure timely and accurate payment of accounts.

Assist in developing a recovery system for accounts outstanding or past due and initiate collections efforts.

Record payments received against customer accounts in subsidiary ledger.

Produce standard and ad hoc AR reports including but not limited to aging, past due invoices, and monthly metrics reports.

Reconcile customer subledger to the AR general ledger account.

Maintain organized accounts receivable/customer files.

Accounts Payable (20%)

Seasonally support AP with data entry of invoices, check requests, and employee reimbursements into the Blackbaud Financial Edge accounting system.

Process independent contractor payments using ADP software.

REQUIRED QUALIFICATIONS:

Working knowledge of CA and federal payroll laws and regulations.

Associate’s degree in Accounting or business related field.

Minimum of two years payroll and accounting experience using software applications.

Strong work ethic, well organized with excellent attention to detail. Ability to work efficiently, multi-task, and meet deadlines.

Proven ability to work with sensitive and confidential information.

Excellent written and verbal communication skills.

Excellent computer skills, including using payroll and accounting software programs, Google environment, Excel, Access, and Word.

Ability to interact effectively with diverse groups of people.

Ability to manage and prioritize projects under difficult time constraints.

Submit to and pass Consumer Report and FBI/DOJ background check investigations

Possess valid CA driver’s license and clean driving record

PREFERRED QUALIFICATIONS:

Experience working in a not-for-profit organization.

Knowledge and familiarity of the University of California, Berkeley, and the Cal campus.

Experience using ADP payroll software.

Experience using Blackbaud’s Financial Edge accounting software.

Salary & Classification: This position is classified as professional part-time, non-exempt. Pay range is $22 -$24 per hour. Starting pay rate will be commensurate prior applicable experience. . We have a friendly, relaxed but professional environment, and we pride ourselves on our team approach.
