Organization Overview:

For 63 years, the Children’s Cancer and Blood Foundation (CCBF) has helped the Division of Pediatric Hematology/Oncology of New York-Presbyterian Hospital/Weill Cornell Medical Center grow into one of the most comprehensive and renowned programs for children with cancer and blood disorders. CCBF’s mission is threefold: to provide clinical care for children with cancer and blood disorders; to foster research to help understand the causes of these disorders; and to sponsor the fellowship training of pediatricians in pediatric hematology and oncology.

Summary of Position:

The Executive Director is responsible for overseeing the strategic leadership of the Children’s Cancer & Blood Foundation while maintaining day-to-day operational management. The Executive Director will be responsible for developing and implementing strategic plans in an organized, cost-effective and timely manner and will work with staff and Board Members to ensure smooth and well-coordinated operations.

Essential Duties and Responsibilities:

Fundraising:

• Provide strategic leadership in the creation and implementation of a comprehensive plan that incorporates individual, foundation, and corporate solicitations
• Build and maintain a growing number of individual supporters, monitoring and analyzing trends and effectiveness of appeals to recruit new donors
• Conduct research on donor prospects using a broad range of internal and external data sources and strategize, identify, and rank individual donor prospects
• Oversee all grant related activities, including (but not limited to) grant research, grant pipeline, grant calendar, reporting, writing and submitting letters of intent and grant proposals

• Develop and implement comprehensive annual grant plan, including the creation of a grant pipeline, grant calendar, reporting structure and metrics to include private, public, corporate, and foundation grants

Marketing:

• Lead CCBF’s communication efforts, including general marketing and promotional materials, media relations, digital fundraising, and funder stewardship
• Oversee all website content, functionality and updates, and liaise with web development firm
• Manage and develop strategies to increase engagement and reach on all social media platforms (Facebook, twitter, Instagram)
• Plan and execute e-communications, including e-newsletters, e-blasts, and electronic giving appeals
• Develop print publications and collateral, including annual report, annual appeal, brochures, signs, and flyers, and work with graphic designers on layout and production
• Craft media material, including press releases, pitches, talking points, appeals and speeches

Allocation of Donations:

• Work with doctors, physician assistants, nurse practitioners, social workers, child life specialist and administrative staff at the hospital to better understand their clinical practice/research to communicate to Board members and potential funders
• Collaborate with administrators to collect information and statistics about clinical programs including the number of patients treated, breakdown of treatment by disease, age, ethnicity, geography, etc. for grant reports and marketing collateral
• Oversee and ensure the performance of the various programs that CCBF supports and ensure the continual improvement of systems and processes to monitor and evaluate those programs
• Serve as the organization’s chief compliance officer ensuring that CCBF is meeting all of its obligations under nonprofit charity law, finance and accounting standards, commitments to donors, etc.

Business Processes:

• Manage and maintain CCBF’s donor database through the Raiser’s Edge, spreadsheets, and other fundraising systems, while performing database maintenance and optimization to improve data integrity and database performance
• Lead all financial operations, including accounting, financial reporting, grant management and cash-flow forecasting and analysis
• Prepare an annual organization budget, as well as individual grant budgets
• Supervise the Payroll, Purchasing, Accounts Payable and General Accounting functions
• Develop, implement and maintain effective accounting policies, processes and internal controls
• Act as liaison with auditors, assisting them with performance of the annual audit as well as oversee all regulatory filings

Manage office infrastructure including ordering supplies, maintaining inventories, working with vendors, scheduling meetings, and taking minutes

People Management:

• Recruit, hire, and train all employees (write and post advertisements for positions, screen applicants, schedule interviews, check references, create and extend offer letters)
• Conduct all new hire orientations, process benefit enrollments and terminations, conduct exit interviews, and ensure compliance with laws and regulations
• Lead weekly team meetings, perform quarterly and annual evaluations of all employees
• Maintain and expand volunteer and internship program by recruiting, screening and training new volunteers and interns, train staff in “best practices” of volunteer management
• Engage, manage, and expand the Board of Directors and work closely with Board Members to develop, update, and evaluate the organization’s strategic and annual plans and goals
• Develop an active and committed Junior Board to serve as ambassadors of CCBF. Assist in recruiting members, coordinate meetings, activities, and fundraisers, and provide general support to help them achieve and exceed their annual fundraising goals

Special Events Management:

• Plan, execute and evaluate all special events including $1 million dollar annual gala, multiple art auctions, cocktail parties, and various other fundraisers throughout the year
• Perform research and onsite visits to select appropriate venue for events, negotiate contracts, obtain any necessary approvals, and design and oversee timelines and benchmarks for all events
• Manage all production details of the annual Breakthrough Ball Gala including coordinating venue and vendors (caterers, florists, audio/visual companies, graphic designers, printers, etc.), logistics, marketing materials (save the date card, invitation, journal, press releases), securing all items for silent and live auctions, managing solicitations, donor lists, support staff and volunteer teams.
• Help secure honorees and entertainment for events by preparing request letters, collecting background materials, and making logistical arrangements including travel, accommodations, equipment requirements, etc.
• Provide coordination and project management to ensure event success, including the preparation of mailings and event production schedules, guest lists, programs and all other printed materials

Qualifications:

The ideal candidate will have a record of accomplishment and success in leading major gifts initiatives and creating and implementing innovative solutions to meet immediate pressing organizational needs. Qualified candidates will likely possess a successful, well-rounded background in fundraising, including major gifts solicitation, annual campaigns, galas, cultivation and stewardship of corporate and foundation donors, endowment building, and grant writing. Ideally, qualified candidates will also have experience working with a Board of Directors, strategic planning, staff leadership/development plus a proven record of successful fiscal management.

The ideal candidate will be able to work competently both independently and as a team player, understand the medical doctors’ research procedures and terminology, juggle multiple projects simultaneously, and meet a demanding schedule of deadlines. A high level of computer literacy is a preferred, including familiarity with Raisers Edge, Microsoft Office, Adobe Creative Suite, and Foundation Center databases.

Experience at a disease specific or grant giving organization focused on scientific research is a plus. At least ten years of experience, preferably in a comparable role, is also a plus.
