Operations Manager – Out Leadership LLC – New York, NY

Out Leadership seeks an Operations Manager to work from our New York office to administer all activity for Out Leadership, reporting directly to the Principal/Founder.

The ideal candidate will have 5-7 years of experience managing an office, including, but not limited to: finances, data management, scheduling, risk management, HR, office management, staffing needs, and process development. The ideal candidate will be a team-player and enjoy working in the background, providing much needed support to a fast-moving, smart team.

RESPONSIBILITIES

The Operations Manager will report to Out Leadership’s Founder & Principal and will be directly responsible for the following responsibilities:

Finances

Oversee the bookkeeper
Manage A/P, A/R, Budget, payroll, and financial planning
Produce monthly financial reports to the Founder
Work with the Director of Advisory and Client Services to plan and manage membership strategies

Data Management / Office Management

Maintain the digital files and physical files
Work with the Manager of External Affairs and Partnerships to maintain accurate records in our CRM system
Build out insurance policies licensing, copyrights, and other legal documents
Manage paperwork for each employee and contractor including: contracts, IRS forms, agreements, NDAs
Maintain office supplies and cleaning personnel

Scheduling

Schedule meetings for the Founder and senior team, as well as serve as gate keeper for meeting requests
Prepare documents as needed prior to meetings

HR/Staffing

Manage the retirement and healthcare offerings for employees
Manage all processes involved in hiring including but not limited to: job descriptions development and posting, interview scheduling, contract production
Manage the smooth dissolution of employment contracts

QUALIFICATIONS AND SKILLS

Bachelor’s degree (or greater)
5+ years of bookkeeping experience
5+ years of experience managing a senior executive’s calendar
Subject matter expertise on global LGBT issues and global business
Passion for working in the background as part of a bigger team
Organization, with a focus on the details
Skilled and effective at multi-tasking; capable of prioritizing many projects at once to nail every deadline
Strong problem-solving skills with little supervision needed
Significant experience dealing with senior business executives and corporate events
Skilled at using Quickbooks, Salesforce, and Microsoft Office
Shared commitment to Out Leadership’s mission and values
