Welcome Desk Administrator / Facilities Coordinator – United Methodist Church of Los Altos – Los Altos, CA

Greet and welcome members of the congregation and the community at the main reception desk; inform them of activities, schedules, church procedures and connect them with staff members, as necessary. Manage the reservation and scheduling of campus facilities. Full-time, M-F, 8:30-5:00.

Duties and Responsibilities:

Greet and welcome visitors and members of the congregation; provide information, referrals or other assistance.
Answer incoming telephone calls and direct to appropriate staff members or provide the information requested.
Administer a computer-based facilities scheduling calendar, to obtain and share event information, interface with church and community groups and manage campus resources; communicate set-up needs with Facilities Staff on a daily basis.
Maintain and post campus maps and daily room schedules.
Administer the distribution and tracking of building keys.
Administer the bi-weekly staff time and labor reporting system.
Manage daily office mailings and deliveries.
Keep reception area orderly, attractive and inviting to all who visit.

Knowledge and Skill Requirements:

Minimum two years of applicable experience.
AA degree, bachelor’s degree preferred
Strong organizational skills
Ability to manage unpredictable situations
People-oriented; good communicator; warm and personable
Experience with church culture, organization and traditions preferred
Strong computer skills, especially MSOffice Suite. Adept at learning new software applications.
Self-starter; able to manage time with interruptions and with limited supervision.

Physical Requirements:

Able to perform computer input with speed and accuracy.
Able to efficiently manage telephone and voicemail communications.
Able to commute reliably to the LAUMC campus.
Able to easily travel walkways and stairs/ramps between buildings on campus.
