VOLUNTEER & SPECIAL EVENTS COORDINATOR

The position of Volunteer & Special Events Coordinator will report to the Executive Director and will be an active member of the Fund Development Team. Working alongside the Alumni & Special Projects Coordinator, Development Database Coordinator, and Development Assistant, the Volunteer & Special Events Coordinator will be responsible for developing and leading a strong Volunteer Program. This position is also responsible for overseeing all Special Events planning and implementation with the help of CH Staff, Board, volunteers, and consultants.

Status: Full-time, exempt position

Reports to: Executive Director

Salary: $39K – $45K DOE, comprehensive benefits

Hours: Flexible, Monday-Friday general business and program hours, some evening meetings, and occasional weekends.

JOB SUMMARY:

Cameron House has enjoyed a rich history of volunteer involvement over the years. Made up of mostly dedicated alumni, our volunteers continue to be important supporters and partners in the CH mission of helping children, young adults, and families to learn, heal, and thrive.

The Volunteer & Special Events Coordinator will focus on assessing the current volunteer program with the goal of redesigning, building, and implementing a stronger volunteer program. This position will work with CH staff to identify areas for volunteer opportunities, while also looking at the pragmatic steps that CH can take to further strengthen and grow this pool of passionate advocates.

The Volunteer & Special Events Coordinator will design an extensive outreach program. As an important representative of CH, he or she will be responsible for reaching out to corporations, partner agencies, alumni, parents, and other potential volunteer sources. Tasks will include recruiting, training, assigning, and supporting volunteers; assessing volunteer performance; and Program effectiveness.

The Fund Development Team is a relatively new department at CH and the team has been effectively collaborating to solidify its responsibilities and projects; therefore, some tasks assigned to this position may change. We are looking for someone who is the perfect fit for this department of dedicated and supportive colleagues who share a sense of humor, a desire for honest and compassionate communication, and a love of food!

ESSENTIAL FUNCTIONS

Volunteer Coordination:

Work closely with the Executive Director and Fund Development Team to strategically plan and implement a strong volunteer program
Spend time with CH programs to gain a deep understanding of Cameron House services
Manage outreach efforts; arrange and oversee all associated travel, meetings, and events
Document volunteer recruitment and training:

Identify volunteers and match their interests with our opportunities and needs
Identify volunteers to serve as honorary co-chairs, chairs, and committee members for fundraising events
Provide and/or conduct volunteer orientations and training
Track volunteer hours, numbers of volunteers, and record contact information so that volunteers can be added to our mailing lists for newsletters and appeals
Work with program staff to assess volunteer effectiveness and provide feedback to volunteers as needed
Pilot volunteer projects with the idea that some efforts will work well and some will not be as effective

    Volunteer support and appreciation:

Many of our donors are also volunteers. Establish and implement a volunteer stewardship program that provides personalized donor and volunteer recognition
Oversee the annual volunteer appreciation dinner (staff help to serve and cook)

    Community outreach and other responsibilities:

Attend volunteer fairs, speakers’ bureaus, and other events to acquaint the greater community with Cameron House, and vice versa
Coordinate with local volunteer centers and organizations as needed
Attend staff /community/committee meetings and events as appropriate
Submit reports as required by funders, or for the Executive Director’s Board report

Special Events Coordination:

Manage the following tasks with support from CH staff, volunteers, and/or consultants:

Establish and oversee an Event Committee for each event, ensuring they are involved with all phases of planning and implementation
Confirm location of event and serve as CH event point person
Work with the Executive Director and Fund Development Team to identify and assist in securing corporate and individual sponsorships; encourage Board and others to help solicit auction items, sell tickets, fill tables, and solicit sponsorships
Ensure that the event is marketed via social media including: website, community calendars (both on-line and in print), email (to CH friends/volunteers), etc.
Involve staff and volunteers to assist in scheduled shifts throughout an event, and to help in making event attendees and donors feel welcome and appreciated
Capture contact information of all attendees and coordinate with Fund Development Team to send thank-you letters, as well as contacting key prospects following an event

MINIMUM EDUCATION AND EXPERIENCE:

BA degree or above
Demonstrated ability to fulfill the responsibilities of the job with at least two years of experience in related fields of community outreach, program development, fundraising, and/or communications
Demonstrated ability to maintain high confidential integrity of information about donors, volunteers, clients, and other constituent groups
Experience with donor database, Raiser’s Edge (preferred)
Skills in Chinese (Cantonese and/or Mandarin) (desired)
Proficiency in MS Office, relational database, and social media including any of the following: Facebook, LinkedIn, Twitter, Yelp, Instagram, Pinterest, etc.
Outstanding attention to details and consistent follow up
Demonstrated excellence in organizational and communications (oral and written) skills with an ability to relate to and communicate with diverse communities and people of all ages
Demonstrated ability to coordinate project logistics and ability to meet deadlines

KNOWLEDGE, SKILLS, AND ABILITIES:

Strong interpersonal skills including the ability to listen well, create positive relationships through team work, customer service, tact, dependability, diplomacy, flexibility, and humor
Sensitivity to confidentiality and confidential matters is required
Positive approach, can-do attitude, and proven ability to collaborate in a small, friendly office
Ability to work unsupervised under multiple deadlines, in a rapidly changing environment, and to operate and lead under pressure in physically or mentally challenging situations
Top-notch research and analytical skills, demonstrated ability to formulate, research, collect, and analyze useful data, which will inform the creation of a strong volunteer program
Willingness and ability to travel (must maintain a valid driver’s license and insurance)
Ability to function effectively under public scrutiny, work well with all levels of internal management, staff, volunteers, and consultants, and to ask for help when needed
Familiarity with the issues and challenges of immigrant communities and the special issues facing women and children exposed to domestic violence, and/or youth leadership programs
