JOB TYPE: Full Time, Non-exempt, 40 hours per week
REPORTS TO: Chief Operating Officer
LOCATION: Intersections International
COMPENSATION: Up to Mid $30’s (depending on experience)

POSITION SUMMARY
Reporting directly to the Chief Operating Officer, the Front Desk Office Coordinator will set the first impression for the organization with visitors and callers. The individual will be flexible, proactive, and efficient with the ability to maintain calm and focus sometimes under pressure. The Front Desk Office Coordinator will be a highly resourceful team-player who is comfortable working independently with little supervision. The individual will make sure day-today tasks are completed and have the ability to exercise good judgement in various situations, with strong written and verbal communication and organizational skills while maintaining realistic balance among multiple priorities.

ESSENTIAL DUTIES
 Represents the organization by welcoming visitors;
 Completes a variety of administrative tasks for the COO including: managing an active calendar of appointments; reconciling expenses; preparing correspondence that is occasionally confidential; copying, reviewing and date stamping incoming and outside mail, scanning and filing documents, screening phone calls and visitors, updating Outlook calendar and contacts, arranging detailed travel plans, and agendas; and compiling documents for travel-related meetings.
 Anticipating the COO’s needs and proactively bringing together appropriate resources;
 Complete critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem solving; making adjustments to plans;
 Managing external contacts; proactively understanding who they are and keeping track of periodic communication needed for primary contacts;
 Improves quality results by studying, evaluating, and re-designing processes and implementing changes;
 Perform additional duties as assigned by supervisor.

QUALIFICATIONS
To perform the job successfully, an individual should demonstrate the following qualifications:
 Must have knowledge of administrative procedures, strong customer service principles and practices
 Must be reliable, courteous, professional personal presentation, and outgoing
 Self-starter with an excellent interpersonal skills
 Active listener and patient with the ability to relay information accurately to others
 Ability to operate a wide range of office technology
 Strong verbal and written communication skills
 Strong information management, organizing and planning skills
 Acute attention to detail and neatness
 Possess high stress tolerance

Education and Experience Requirements
 High school diploma or GED equivalent.
 Associate’s degree from an accredited college preferred.
 Two years’ practical experience as an office assistant preferred.
 Two years’ experience as an event planner or an equivalent combination of education and experience preferred.

Technical Skills
Strong knowledge of Microsoft Office: Word, Excel, Outlook, Internet.

Working Conditions
Position resides in a highly visible open workspace that is designed to make a good impression.

Work week is based on our staffing need and would be Monday through Friday from 8:30 AM to 5:30 PM (40 hours) with occasional paid evenings and weekends for scheduled events. Less than 1% travel; must be capable of lifting at least 25 lbs. Business casual is the style of dress with occasional business professional attire for special events and meetings.
