Administrative Assistant – President’s Office – Washington – Flamboyan Foundation

Flamboyan Foundation seeks an experienced and efficient administrative assistant to provide support to our Chief Operating Officer and add capacity to the President’s Office. The ideal candidate will be a dependable, detail-oriented, critical thinker, with excellent time management and prioritization skills and a positive, ‘can-do’ attitude. As a member of the President’s Office, this team member will enable our DC senior leadership team to meet their daily outcomes efficiently.

This full time role is suited for an individual who is talented and passionate about thinking strategically and proactively to support the objectives of an organization’s executive team. The ideal candidate has the project management and diplomacy skills to manage up effectively and keep their objectives moving forward on schedule.

Successful candidates must have experience with scheduling, meeting coordination and exercising judgement and initiative with minimal oversight.

The Role
Supporting Operations Office:
Schedule, update and manage appointments, calendar and contacts for Chief Operations Officer
Coordinate meeting logistics, oversee catering requirements and receive guests
Submit, track and reconcile reports for reimbursable expenses
Review and copyedit documents
Make travel arrangements including identifying and securing the most cost-effective flight and hotel rates

Supporting President’s Office:
Coordinate meeting logistics, oversee catering requirements and receive guests
Assist with maintaining President office’s daily lunch requirements
Maintain President’s files
Make President’s travel arrangements including identifying and securing the most cost-effective flight and hotel rates
Schedule and support staff retreats/meetings and special events
Assist with board meeting preparation including scheduling, materials preparation and meeting logistics
Submit, track and reconcile reports for President’s reimbursable and Flamboyan credit card expenses
Shipping items as needed
Assist with additional executive and family office support as needed

Education and experience
Bachelor’s degree preferred
Minimum two years’ administrative support experience
Culturally competent and self-aware
Efficient but careful, independent worker
Ability to manage up and exercise diplomacy
Highly organized and enjoys designing and maintaining systems
Exceptional people, relationship building, and communication skills, with a strong customer service mentality and high degree of integrity, accountability and emotional intelligence
Collaborative, approachable, accessible and engaging. Open to feedback with evidence of handling sensitive situations with positive outcomes for the organization.
Excellent analytic and problem-solving, with the ability to take a thoughtful and data-driven approach to addressing challenges
Ability to think strategically and build systems and processes for effective talent acquisition, development and management organization-wide
