Office Administrator, Nonprofit Legal Organization – Lawyers Alliance for New York

Lawyers Alliance for New York is the leading provider of business and transactional legal services for nonprofits that are improving the quality of life in New York City neighborhoods. We help nonprofits to develop affordable housing, stimulate economic development, promote community arts and urban health, and operate vital programs for youth, the elderly, recent immigrants, and other low-income New Yorkers. Each year, Lawyers Alliance represents more than 700 community-based and other nonprofits, leveraging the expertise of its staff along with more than 1,500 volunteer attorneys from law firms and corporations.

Lawyers Alliance seeks an Office Administrator to support its office functions.

Primary responsibilities of this position include:

Ensuring smooth and efficient administrative operations of an office with more than twenty staff members, including attention to office equipment, workspaces, supplies, vendors, and systems;

Receiving on site visitors, screening and directing incoming calls, monitoring Resource Call Helpline, conducting telephone inquiries, and returning calls promptly to support strong relationships with clients, volunteers, donors, and other external audiences;

Providing organizational, database, technology, and other support for Lawyers Alliance’s workshops, webinars, and other trainings for nonprofit managers and attorneys, including updating contact lists, helping to promote events, coordinating event registration and logistics, and analyzing attendance and evaluation data;

Performing factual research, database, word processing, mail merge, copying, scanning, and other tasks, as assigned by program staff and management, to support client and volunteer services, fundraising, strategic planning, and other organizational efforts;

Organizing and maintaining paper and electronic file systems, including correspondence, active and closed cases, vendor and administrative files, publications, and other records;

Processing mail, deliveries, credit card transactions, cash receipts, and related reports;

Troubleshooting office equipment, placing service calls, maintaining professional office appearance, and other administrative, program, and office support duties as assigned.

Lawyers Alliance offers an opportunity to be involved in some of New York City’s most interesting public interest work. The successful candidate will have strong organizational, database, and communication skills; and at least 1-3 years of work experience in a professional office setting. An undergraduate degree and nonprofit experience are preferred. Annual salary is approximately $38,000, depending on experience.
