Alumni / Mentor Manager – Point Foundation – Los Angeles, CA

Position Overview

Responsible for managing all aspects of the alumni and mentor programs while assisting in scholar relations, conference planning and implementation.

Duties and Responsibilities

Mentoring

Create updates about the mentoring program to all mentors and scholars-re-evaluate effectiveness of bi-annual Mentoring Messenger, Mentoring Manual, and other publications related to mentoring
Identify and manage a diverse pool of professionals who are qualified, willing and able to serve as Point Mentors

Formulate and maintain the mentor application process on Point’s website through Blackbaud Net Community

As new scholars are selected each year, identify the best mentor for each scholar and facilitate an introduction after completing background checks and reference checks

Conduct a one-on-one interview with each mentor candidate (in person or by phone) and record summarized conversation points regarding eligibility in Raiser’s Edge

Receive, acknowledge and file mentor applications received through Point’s web-based application process

Participate on the Mentoring Subcommittee through regularly scheduled conference calls and provide staff support as needed

Prepare and communication of policies and guidelines that are adopted for Point’s Mentoring Program

Collaborate with the Mentoring Subcommittee to hold biannual Open Forums for mentors

At the beginning of each calendar year, collaborate with the Mentoring Committee to set dates for all upcoming meetings, newsletters and open forums

Conduct mid-year check in calls with each mentor to gauge the progress of the mentoring relationship as well as the scholar’s Community Service Project (CSP)

Serve as the organizational point of contact for either any scholar or mentor who needs to discuss their mentoring relationship

When a mentoring relationship comes to an end early, work with the scholar as well as the mentor to gain closure

Handle complaints, arbitrate disputes or resolve issues between mentor and mentee

Participate and document mentor exit calls

Develop and communicate policies and guidelines that are adopted for Point’s Mentoring Program

Recommend Point Mentors for organizational roles in leadership, publicity and other areas as needed

Alumni

Recommend Point Alumni for organizational roles in leadership, publicity and other areas as needed

Formulate and implement programs that will increase Point Alumni retention and organizational involvement

Support to fundraising and development efforts that are directly or indirectly related to Point’s Alumni Programs

Plan and monitor annual budget for Alumni Programs

Participate in planning and execution of the annual Alumni Conference

Coordinate Alumni Committee and Alumni Subcommittee conference calls and prepare minutes for distribution

Enlist alumni participation for all Point events and all relevant programs

Work with Alumni Committee and its respective subcommittees to ensure completion of projects and goals

Responsible for all updates of alumni information such as location, profession, contact information, photographs, accomplishments, etc.

Participate in Alumni Committee and Subcommittee meetings and provide guidance, leadership and assistance to initiatives that are proposed

Work with the Alumni Communications Subcommittee to create and distribute resources and website updates

Member of the Valediction host committee meetings

Scholar Relations

Conduct check-in phone calls with scholars studying in the South each academic year

Participate in weekly Program Team meetings and support and attend Point-related functions

Develop and execute strategic programming goals

Conference

Assist in planning the National Leadership Conference, Regional Leadership Forum’s and Leadership Education and Affinities Development Consortium’s

Assist in preparing program grant reports

Assist in program delivery and project management for the Conference & Internship Manager

Requirements

Exceptional educational program and management experience

Strong organizational skills and able to drive others to meet their deadlines

Significant project management experience

Excellent people skills, with the ability to partner with a dynamic leadership team

Committed to being prompt while maintaining confidentiality and respect if mentor/scholar relationship issues arise

Flexible and able to multi-task; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions, demonstrated resourcefulness in setting priorities and guiding investment in people

Ability to point to tangible examples of reporting and program measurement and evaluation

Demonstrates integrity, strives for excellence and has experience leading others to new levels of program effectiveness

Passionate about Point’s mission and able to promote and communicate the philosophy, mission and values to external and internal constituents

Action oriented and enjoys working hard and looks for challenges

Strong written and verbal communication skills; a persuasive and passionate communicator

Ability to exercise tact and diplomacy in organizational settings

Remain focused in the face of pressure, delivers against timelines and not intimidated by tasks/time limitations

Maintain adherence to attendance including office hour start and end times and meeting deadlines regarding tasks and projects

Interest and experience working across differences, possessing an understanding of intersectionality, and using those principles to build a collaborative and cohesive community
