Program Coordinator – New York City Association for the Education of Young Children

Description: The Program Coordinator is the “public face” of New York City AEYC. As such, the Program Coordinator communicates frequently with members and partners and provides clear communication in a way that best represents the organization. The Program Coordinator must embody the mission of the organization at all times.

Responsibilities:

External Relations

Initiates and maintains communication with partnering organizations.

Attends some city early childhood meetings/events as representative of New York City AEYC.
Works to build and facilitate key partnerships with other city early childhood organizations and state and national AEYC.
Serves as the first point of contact for inquiries about the organization.

Events Coordination

Manages the registration process for New York City AEYC events including tracking registration fees.
Supports Committee Chairs in communicating information about events.
Facilitate logistics of events coordinating room rentals/food orders/material dissemination

Membership

Maintains a current membership database.
Follows up with New York City AEYC members about membership renewals.

Communicates with members using the Emma email system.

Financial

Processes invoices for submission to Treasurer and sends a weekly package to the Treasurer.
Makes bank deposits.

Updates Quickbooks and reconciles bank statements each month.
Notates the details of income and expenditures and
provides the Treasurer with a monthly report for the general meeting.

Office Management

Manages all telephone and email/mail correspondence.
Maintains files.
Provides office support to New York City AEYC Committee Chairs as needed.

Maintains the office and orders and stocks all office supplies and any supplies or inventory need for events.
Communicates with webmaster.

Qualifications: Candidate should have a minimum of a bachelors degree, masters degree preferred. Candidate should have background or experience in early childhood and have a good understanding of the early childhood field. Ideal candidate has administrative and nonprofit experience and comfortable networking in various settings.

Work Schedule: The Program Coordinator will work up to 20 hours a week likely starting at 15 hours per week, creating a schedule that best supports NYCAEYC. The Program Coordinator will maintain a timesheet, which documents the time worked and the tasks accomplished. The Program Coordinator will manage his/her time effectively so as to ensure all tasks are completed during peak periods and that long-term projects are completed during non-peak periods.
