Office Administrator – Keshet – Jamaica Plain, MA

As part of national staff located in our Jamaica Plain headquarters, the Office Administrator will be responsible for the day to day functioning of a very busy office, with 12-16 staff, interns, and consultants. This position is broad in scope, from reception, to making sure recycling is handled, to troubleshooting printer problems, to doing mail merges, to managing inventory.

The Office Administrator is the first person a guest meets when they walk into the office. Therefore you’ll need to be someone with a sense of humor, enthusiasm, and flexibility, and an understanding of and support for Keshet’s mission. Keshet offers a relaxed, energetic, dog-friendly, and highly productive work environment, with many opportunities for growth. This position is full time and reports to and provides direct support to the Director of Finance and Administration.

Responsibilities

Tasks include, but are not limited to:

Manage reception including answering phones, sorting and distributing mail, and maintaining the reception area.
Serve as the contact for the general public, consultants, interns, vendors, etc.
Manage our voicemail system, phones, and videoconference capabilities.
Schedule and organize meetings, staff meetings, and video or teleconferences.
General office management and organization, ordering and organizing supplies, handling filing systems, and maintaining storage areas. This will include checking in shipments and storing materials, supplies, letterhead, etc.
Function as the contact for all facilities issues, including recycling, trash, cleaning crew, etc. This will include taking out recycling.
Troubleshoot office printers and function as the contact for basic technology support.
Process all incoming mailing, sorting for staff and departments, and initial handling of checks and payments.
Oversee all mail and shipping tasks, postage system, bulk mail handling, FedEx accounts, etc. This includes periodically taking bulk mail, or other overnight packages, to the post office.
Handle printing for mail-merges, appeals, and thank you letters.
Work with Information and Data Manger to ensure data quality.
Maintain the inventory of marketing, communication and educational materials in all offices.
Provides administrative support as needed for educational programs and community events.

Qualifications

Extremely detail oriented with superb organizational and time management skills.
Self-motivated and able to solve problems creatively and effectively.
Comfort with multi-tasking and a fast-paced culture.
Excellent interpersonal skills.
Strong computer skills (Google Apps, Google calendars, MS Word, Excel, Mail Merges, etc.).
Bachelor’s degree preferred.
