Medical Clinic Receptionist / Admin Assistant – PROVAIL – Seattle, WA

PROVAIL’s Therapeutic & Assistive Technology Clinic located in North Seattle is looking for an experienced, energetic full-time Clinic Receptionist/Admin Assistant. The clinic provides rehabilitation services, therapies, and creative technology-based solutions to help children and adults with disabilities maximize their abilities and independence.

RESPONSIBILITIES:

• Greets clients, visitors and guests to PROVAIL Clinic and Headquarters and provides instructions and/or directions as necessary.

• Responsible for coordinating all communication related to patient referrals, case assessment and admissions.

• Prepare medical records for each visit and verify that the record is complete.

• Maintains organization and completeness of medical records including filing of documents according to medical records guidelines and HIPAA.

• Verifies that required referrals have been received prior to the client’s appointment.

• Enter referrals into the computer after received from Physician’s Office

• Schedules future and missed client’s appointments for six clinicians.

• Screens phone calls, and directs them to the appropriate individual. Takes and directs messages as necessary.

• Assists clinic staff and clients with clerical duties as needed, including copying and faxing documents.

• Also supports periodic requests from CEO on board related activities.

KNOWLEDGE, SKILLS, ABILITIES:

• Minimum of one year experience in medical reception preferred.

• Possesses a general understanding of insurance benefits.

• Must be able to work with repeated interruptions and juggle many tasks while maintaining attention to detail.

• Friendly, welcoming, personable, caring with a professional attitude and appearance.

• Knowledge and skills regarding all general office equipment including computers, telephones, fax.

• Knowledge and proven skills in customer service.

• Ability to work independently while prioritizing multiple tasks.

• Ability to communicate effectively, both verbally and in writing.

• Ability to work cooperatively in a team of individuals of multiple disciplines.

• Ability to learn new skills, adapt to new situations and maintain flexibility in a continuously evolving environment.
