Development Coordinator / Database Analyst – Outward Bound USA – Brooklyn, NY

Summary

The primary duties of the Development Coordinator & Database Analyst are to coordinate Outward Bound USA’s Development Department and to assist in all areas of fundraising, including managing the donor database, managing the Brooklyn office, and assisting with the Annual Benefit Dinner. The position will report directly to the Director of Development and will work closely with the Associate Director of Institutional Giving and Events Producer.

Essential Duties and Responsibilities

Manage processing and acknowledgement of all gifts received from finance office, website, stock transfers, wire transfers and monthly recurring gifts in an accurate and timely manner.
Maintain and update all donor records including donor gifts, contact information and overall donor profiles in Raiser’s Edge database and paper files, including gift entry and event registrations.
Draft correspondence to donors and prospects including thank you notes and tax acknowledgement receipts.
Coordinate quarterly appeals and renewals to individuals and assist with institutional solicitation mailings. Create and organize database queries and exports, mailing lists, prospect lists and reports. Assist with other mailings as necessary.

Work with finance department to reconcile financial contributions to ensure data is consistent across departments. Issue weekly Development revenue reports and reconcile monthly with finance department.

Manage online giving and website navigation to ensure pages are up-to-date and functional. Facilitate changes and edits as necessary.
Manage bi-monthly newsletter generation and online communication outreach to Outward Bound donor base. Maintain communications calendar, including newsletters, quarterly appeals and other department communication.
Organize, assemble and maintain inventory for printed collateral for fundraising purposes, including view books, letterhead, etc.
Conduct prospect research.
Assist with a wide range of activities in support of the Annual Benefit Dinner. Includes: managing solicitation lists, developing guest lists, organizing volunteers, as well as following up with tax acknowledgements, etc. Performs additional tasks related to the Annual Benefit Dinner and other events as needed.
Provide general office management and administrative support including upkeep of equipment, ordering office supplies, catering for meetings, answering main phone line, etc.

Secondary Duties and Responsibilities

Assist with managing select lines in the departmental budget such as office supplies.
Other duties as assigned.

Knowledge and Skills

Familiarity with PCs, Microsoft Office Suite, and Raiser’s Edge database required.
Excellent attention to detail and follow-up skills.
Strong communication and organizational skills.
Ability to work independently at times and in a highly supervised role at others.
Strong team spirit; willing to jump in and learn new skills.
Flexibility and a sense of humor.

Education and Work Experience

BA or BS degree preferred.
Previous internship or work experience in a relevant field preferred.
