Administrative Coordinator – First Presbyterian Church of Ossining – Ossining, NY

To provide secretarial and administrative support to the Pastor, Committees, and Congregation of a Westchester County church. Part-time position for 15-18 hours per week.
Primary job functions

1. Preparations for Weekly Services

Receive materials for the worship bulletin (program) from the Pastor and Music Coordinator, and others as needed. This includes scripture and music selections, prayers concerns, announcements, inserts, and calendar information.
Prepare liturgy for the bulletin.
Publish, prepare, and arrange bulletins in back of sanctuary before leaving on Fridays. Also tidy up pews by stacking softcover hymnals on back table and returning hardcover holder in the pews.
Post hymn numbers on the two displays at the front of the sanctuary.
Dress pulpit and table vestments per the liturgical calendar.
Make timely changes to the large sign board at the front of the church; “one liners” on Tuesdays and sermon titles on Thursdays.
Coordinate special needs of worship service, typically three times annually (Christmas poinsettias, Easter lilies, and Palm Sunday palms)
Prepare bulletins for occasional funeral and wedding services.

2. Communications

Answer telephone calls and take messages during working hours. Return and/or redirect calls and voicemails as appropriate.
Respond to and/or direct emails and paper mail sent to the church.
Provide general administrative support to church staff, tenant organizations, and committees (e.g., readying church office or parlor for monthly meetings, handling deliveries, ordering and distributing cleaning supplies).
Compile and publish the reports for the Annual Congregational Meeting.
Advise congregation and committee personnel of upcoming meetings and events via email.
Develop a personal system to receive and distribute complaints, concerns, and other suggestions from members and frequent attendees to the appropriate staff or committee personnel.
Maintain the church directory (deletions, additions, corrections) and publish twice annually.
Maintain and update paper mailing list for stewardship campaign and special announcements.

3. Facility Responsibilities

Receive requests for building use and direct to Building Use Coordinator if necessary.
Ensure scheduling conflicts do not occur between FPCO congregation events and tenant events, or between tenant organizations (e.g. Iglesia El Sembrador & Alcoholics Anonymous).
Contact appropriate service providers (Optimum, All-State Business, etc.) if any office appliances or utilities are not functioning properly.
Contact Chair of Property Committee if any appliances and utilities outside of the office (kitchen equipment, electric, water, etc.) are not functioning properly and act on his recommendation.
Maintain and dispense duplicates of church keys as needed and keep record of such.
Maintain the tidiness of the church office.
Check that the church is clean and ready for use; where needed, direct and supervise the sexton (janitor).
