Administrative Assistant – Los Angeles Center for Law and Justice

DESCRIPTION
The Los Angeles Center for Law and Justice (LACLJ), a nonprofit, public interest legal services organization that serves survivors of domestic and sexual violence, has an immediate opening for an Administrative Assistant to support external relations and grants management. This is an excellent opportunity for an administrative professional passionate about supporting women and immigrants. Other tasks for this position include general office support related to maintaining equipment and supply inventory, meeting preparation, and various clerical duties.

About the Organization: Los Angeles Center for Law and Justice (LACLJ) is a 501 (c) (3) nonprofit organization based in East Los Angeles that serves primarily survivors of domestic violence and sexual assault. Our mission is to fight for the rights of vulnerable families and advocate for a more just legal system and our vision is a strong community where families are safe, stable and free from injustice.

Essential Functions
External Relations
Process donations and maintain accurate donor files, including giving histories and contact information. Build mailing lists and create donor reports as needed.
Support logistics for annual fundraiser and other events, such as coordinating vendors, managing timelines and checklists, tracking RSVPs and ticket requests, and overseeing event registration.
Assist in preparing development-related communications, such as invitations, save-the-dates, appeals letters, stewardship communications, holiday cards, and acknowledgments.
Assist in preparing LACLJ’s e-newsletter, posting content to website, and other tasks related to online fundraising efforts.
Provide administrative support such as scheduling appointments, monitoring development-related voicemail and email, managing mail, and coordinating meetings with volunteers and donors.

Grants Management
Track deadlines and maintain organized, complete and accessible paper and electronic files.
Assist in preparation of routine correspondence, reporting, audits, and site visits.
Support submission of grant proposals and reports by coordinating document preparation and providing clerical support to supervisors.

General Office Support
Assist in maintaining equipment and supply inventories by checking inventory levels and restocking supplies as needed.
Assist in preparation of routine office meeting and events, including scheduling, coordinating food, audio visual assistance, and room set up and breakdown.
Provide general clerical support, including answering phones, copying, scanning, filing and transporting documents as needed.
Provide backup support to office administrator in managing mail and logging checks.

Mínimum Qualifications
B.A. or B.S. degree
1-3 years of administrative experience
Excellent Word, Excel, Outlook, and PowerPoint skills
Excellent interpersonal skills and demonstrated ability to work with the public and with volunteers
High level of attention to detail required
Skill in working independently and following through on assignments with accuracy and minimal direction
Ability to work occasional evenings as required by events and deadlines

Desired Knowledge, Skills, Abilities
Spanish language skills preferred
Passion for working with survivors of domestic violence and sexual assault
Working knowledge and experience with Adobe Creative Suite (including Photoshop, InDesign, Illustrator)
Prior experience working with databases and website content management systems (WordPress, Network for Good, or Efforts to Outcomes experience a plus)
Education and/or experience that demonstrates an understanding of the needs of low-income persons, immigrants and/or other under-served, under-represented populations

Working Conditions and Physical Requirements:
Work in an office setting including being at a workstation and attending meetings
Use of office machines such as computers, photocopiers and telephones

BENEFITS
This is a full-time (35 hours a week) position with benefits. Salary range $35,000 – $40,000. LACLJ offers full-time staff a generous benefits package including 100% employer-paid medical (Kaiser), dental, vision, long-term disability, and life insurance.
