Administrative Assistant – Intrepid Fallen Heroes Fund

DESCRIPTION
The Intrepid Fallen Heroes Fund is looking for a Part-time Administrative Assistant to support the IFHF team.

· Office Management
· Answering phones / following up on messages
· Prepare and edit correspondence, communications, presentations and other documents
· Schedule meetings as needed
· Organize IFHF shared computer folders
· Handle mailings – FedEx, Brochures, thank you notes, etc.
· Coordinate business gifts as necessary
· Filing
· Assist with accounting as needed, including data management with Raisers Edge program
· Manage & maintain inventory of office supplies and marketing materials
· Organize information and materials for meetings and/or reports
· Conduct administrative duties related to the Board of Directors
· Manage travel agenda and arrangements as needed
· Assist in the preparation of grant proposals and reports to funders as needed

· Project Work
· Assist with planning and execution of IFHF including but not limited to invitation management, ordering of supplies, thank you gifts.
· Work events as required, some travel may be required
· Manage IFHF’s shared computer drive of photos and videos
· Carry out other projects as necessary
· Perform other duties as required by management.

Candidate must have two to four years administrative experience and/or training with experience in management administration; or equivalent combination of education and experience. Highly proficient in Word, Excel, PowerPoint and data entry. Ability to represent the team in a highly professional manner and maintain confidentiality of sensitive data/material. Excellent organizational skills, attention to detail and ability to multi task effectively. Ability to complete projects efficiently and meet deadlines. Demonstrated track record of high ethical character. Strong critical thinking, complex problem solving skills. Strong interpersonal and communication skills at all levels of the organization, from line workers to senior management. Ability to be flexible, proactive and resourceful. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to work weekends, holidays, and other overtime as necessary.
