Foundation Operations Associate – California Bar Foundation – San Francisco, CA

The California Bar Foundation (CBF) is recruiting a Foundation Operations Associate to join a collaborative, motivated team at its office in San Francisco.

We seek an energetic, collaborative and highly-organized individual for a Foundation Operations Associate position. This associate will support all aspects of Foundation operations including day-to-day administrative office functions and serving as the interface for stakeholders and the public. This is an entry-level position with opportunities for growth in the areas of strategic communication and program development.

The selected individual must be able to exercise independent judgment, resourcefulness and discretion. Outstanding interpersonal skills, superior writing and organizational skills are required. The position is non-exempt, full-time, based in San Francisco.

Responsibilities include:

Providing administrative support to the Executive Director, the Board of Directors and committees, including but not limited to arranging meeting and travel logistics, scheduling meetings, conference calls and responding to Board member inquiries;
Supporting fund development, communications and program operations administration as necessary;
Ongoing management of donor and contact database;
Managing solicitation logistics—including development of solicitation lists, mail merges, personalizing letters, and preparing and printing the letters;
Organizing and maintaining the Foundation’s paper and electronic files;
Tracking and maintaining relations with program alumni;
Supporting program applications process;
Managing inventory, anticipating upcoming projects and mailings, and ordering the necessary supplies or stationery to accomplish those projects and mailings;
Serving as liaison to office building facilities management and State Bar support services; and
Answering the main telephone line, managing incoming and outgoing mail and responding to general inquiries.

Qualifications include:

Passion for our mission of building a better justice system for all Californians;
Bachelor’s degree;
Demonstrated flexibility, initiative, resourcefulness and ability to think outside of the box;
High professional standards including follow-through, responsiveness and ability to receive constructive feedback;
Ability to see the big picture and manage practical details working collaboratively and independently;
Excellent Microsoft Office skills (Word, Excel, Outlook, PowerPoint), particularly experience doing mail merges and manipulating spreadsheets;
Strong database management skills; and
Experience in operations management, preferably in a nonprofit environment.
