JOB TITLE: Deputy Director, HOPE Corps

ACCOUNTABILITY: Director, HOPE Corps and HOPE Talent

The position requires national oversight and supervision for HOPE Corps operations, working with the three divisions of Operation HOPE, Youth Empowerment, Adult Empowerment, and Financial Disaster Preparedness and Recovery (HOPE Coalition America). Responsible for reporting engagements, measuring outputs, monitoring and evaluating initiatives, including the management of the volunteer management system for HOPE, ensuring HOPE Corps national standards are adhered to by HOPE staff who work directly with volunteer programs. In addition, the Deputy Director of HOPE Corps will implement training strategies surrounding volunteerism, participate in strategic and budget planning with immediate supervisor, and senior management leaders, and will assist in preparing and analyzing national programmatic updates and requests for special projects.

DUTIES AND RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

Strategic Planning

Working with Director of HOPE Corps to create and execute the strategic plan for the department to maximize HOPE’s impact
Working with Director to build local staff capacity and infrastructure and manage relations with key stakeholders to sustain scale for HOPE Corps

Partner/Grant Management

Assist HOPE team members in providing information to support grant proposals and ensure grant reports and supplemental materials are completed by grant administrator and submitted on-time when applicable
Collect ongoing partnership agreements related to HOPE Corps and ensure master documents are updated and distributed

Reporting (Program and Finance)

For HOPE Corps, work with key division leaders and program leaders to receive all program monthly reporting related to volunteer numbers, conduct ongoing audits and ensure that volunteer management system, and other databases for all activity, meet the standards of the organization.
Monitor, analyze and provide written weekly, monthly, quarterly and annual reports for program operations.

Assist the Office of Innovation, Research and Assessment (OIRA) in creating and implementing ongoing monitoring and evaluation systems for all HOPE Corps programs and to ensure ongoing assessments are conducted and results distributed for HOPE Corps volunteers, and program staff
Review end of month financial reports (Expense Reports, General Ledger and Accounts Payable)

Communications

Support local teams in reaching out to local media outlets and national communications team to elevate our presence in the HOPE Markets
Approve all blog submissions for HOPE Corps to ensure they are consistent with HOPE guidelines and partner recognition requirements
Ensure HOPE Corps content on HOPE website, HOPE Corps website and Volunteer Management System are accurate and up-to-date with program activity, training information, and overall program information
Posting of volunteer opportunities on all online volunteer recruitment outlets
Work with Design team to create HOPE Corps collateral material and oversee reproduction of same.

Human Resource Development

Assist HOPE Corps Director to ensure divisions are administering and enforcing program policy and procedures
Assist HOPE Corps Director and HR in the development and training of HOPE Corps personnel, including performance reviews, giving constructive feedback, and administering professional development activities, including corrective action processes

Engage Volunteers

Promote HOPE Corps to gain community support of the volunteer program and the organization
Develop and implement effective strategies to recruit the right volunteers with the right skills
Develop and implement an intake and interview protocol for potential volunteers to ensure the best match between the skills, qualification, and interests of the volunteers and the needs of the organization
Orient volunteers to increase their understanding of the organization, its clients, its services and the role and responsibilities of volunteers
Plan and implement formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization

Program Management

Ensure on-going monthly national program trainings surrounding effective volunteer recruitment, management and recognition.
Work with HOPE staff to ensure that volunteers are given appropriate training to be successful in their positions
Work with HOPE staff to ensure that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures
Work with HOPE staff to ensure that volunteers receive the appropriate level of supervision
Assist with conflict resolution among clients, staff and volunteers according to established procedures
Establish and implement a process for evaluating the contribution of individual volunteers
Oversee HOPE Corps Fellows and Interns and help to maximize their individual potential as team and organizational leaders, with explicit professional development priorities as part of FILE program policy
Set agendas for and chair regularly scheduled HOPE Corps division management team calls to monitor progress on the volunteer management system and reporting, and towards goals, monthly reports, discuss new initiatives, best practices and areas for improvement.
Conduct weekly calls to provide one-on-one mentoring and guidance to Fellows and Interns.
Train HOPE staff to work effectively and cooperatively with volunteers.

Quality, Safety and Control

Assist HOPE Corps Director in ensuring that program leaders are following background check guidelines for all volunteers in HOPE programs and properly utilizing the Verified Volunteers Background Check.

Required Education & Experience

Bachelor’s degree required, education in social sciences, human resources, community development or adult education is an asset.
Proven ability to implement an inspiring vision and motivate others to reach ambitious goals in support of that vision.
Demonstrated success managing individuals and teams to achieve ambitious goals.
Experience in working with several department teams strongly preferred
Experience in volunteer management operations

Success in this position requires excellent customer service, communication and time management skills.
Is able to manage and prioritize last minute request and/or projects

Knowledge, skills and abilities

Knowledge of current trends, resources and information related to volunteerism
Knowledge of the management of volunteer resources
