Administrative Assistant – First Response Team of America – Carlisle, PA

Seeking Administrative Assistant for a not-for-profit in Carlisle, Pennsylvania to work a minimum of 8 to 10 hours per week. Prefer candidate to work on Sundays, but hours are flexible and may increase over time.

Role and Responsibilities

Administration

Supports the Assistant to CEO in the following tasks:
Management of office’s daily operations including administrative support for the organization
Development and maintenance of electronic and hard copy filing systems for the office
Maintenance of contacts and donor databases
Management of general organization inquiry account
Provides miscellaneous clerical support, including correspondence, mailings and printing
Provides administrative support for special projects in fundraising and communications
Prepares and coordinates materials for meetings including meeting notices, agendas, handouts, printing and distributing follow-up materials
Other duties as assigned

Bookkeeping

Supports the Assistant to CEO in the following tasks:
Tracking and management of donations in donor database
Tracking grant funds and restricted gifts
Tracking actual expenses against budget
Preparation for annual audit and 990 tax return

Organizes credit card statements and receipts
Enters some transactions into QuickBooks
Prepares expense forms with appropriate receipts and information for reimbursement

Qualifications and Education Requirements

Bachelor’s Degree
Seeking a service minded individual
Resourceful and innovative problem solver
Careful attention to detail
Strong communication skills (oral and written)
Flexible work attitude: the ability to work productively, both independently and in a team environment, with the ability to establish priorities and meet deadlines
Excellent organizational skills and proven ability to produce high quality work under tight deadlines, while simultaneously managing multiple projects
Proficient in Microsoft Office, specifically Word and Excel
Proficient with social media, ie: Facebook, Twitter, YouTube and Flickr
Working knowledge of QuickBooks preferred
Energetic, hard working, and enthusiastic team player
