Development Coordinator – CLARE Foundation – Santa Monica, CA

CLARE Foundation is a nonprofit organization providing compassionate treatment and recovery servicesfor alcoholism and substance abuse to individuals, families, and the community.

The Development Coordinator serves as a database manager for the Development Department, including design, production and analysis of reports from solicitation. Enters gift information, balances with accounting, and maintains the integrity of the development database. Produces general and personalized acknowledgements. Functions as the responsible person for coordinating prospect identification, in conjunction with the Manager of Individual Giving, and providing opportunities to analyze response rates and donors who show motivated interest in CLARE through their giving actions. Assist the Manager of Individual Giving with preparing for and conducing phonathons, appeals, and donor-related events. Trains in standards for prospect research and produces donor profiles. Supports the Director of Major Gifts and Planned Giving and the department with general support needs. etc. Supports the Resource and Development and Major Gift Committees. Serves as the liaison for developing a corporate sponsorship program, including third-party sponsorships.

Major Areas of Responsibility:

In conjunction with the Sr. Director of Development oversee the coding of all prospect/donor information maintained in the development database

Record all charitable gifts received by CLARE Foundation, soft credits, linked and matching gifts, including in-kind, pledges and deferred gifts

Design and execute reports on gift entry status, coding, appeal analysis, development funds progress against goals, solicitor assignment status; become expert at the use of specialized reports, such as prospect sub-coding and reports of Major and Planned Gifts.

Conduct basic prospect research

Maintain all department database recordkeeping

Prepare general correspondence for the department

Manage donor acknowledgements, including preparation and recording of personalized acknowledgements from the Sr. Director of Development and Executive Director, as required.

Coordinates the new CLARE corporate sponsorship program, including canvassing to develop an appropriate prospect list, assisting in the design and preparation of collaterals, preparing sponsorship packages and agreements, and, where appropriate, soliciting sponsorships

Provide event support, as needed, including handling written and verbal RSVP’s, running event reports of attendees

Answer general department telephone requests and triage phone calls for thevdepartment; make calls and appointments for the department

Recruit and supervise general development administrative department interns/volunteer(s)

Handle ongoing and special projects as assigned by the Sr. Director of Development

Other duties as needed by the Development Department

Maintain good work habits including promptness, adherence to CLARE workplace policies, preparedness for meetings and events, and responsive follow-through on all donor, supervisor, and staff requests

Primary Objectives:

Research and produce accurate and useful prospect research in a timely manner
Support overall department activities

Knowledge, Experience & Skills:

The ideal candidate will have a understanding of fundraising in a social service environment, as well as a commitment to and a passion for the mission, vision and values of the CLARE Foundation. Additionally, the following are required:

B. A/B.S. or equivalent

Experience with donor and/or relational database

Excellent verbal and written communication skills

Attention to detail and good organizational skills

Excellent computer skills: Microsoft Office Suite

Self-motivated and independent with the ability to multi-task

Excellent judgment; knowledge of and adherence to appropriate confidentiality

Strong interpersonal skills and ability to work effectively with staff, board members and committee/volunteers

Valid California Driver’s license and reliable transportation

Physical Demands:
