Executive Assistant / Chief Executive Officer & Chief of International Operations – Room to Read – San Francisco, CA

Organization Profile:

Room to Read seeks to transform the lives of millions of children in developing countries by focusing on literacy and gender equality in education. Working in collaboration with local communities, partner organizations and governments, we develop literacy skills and a habit of reading among primary school children, and support girls to complete secondary school with the relevant life skills to succeed in school and beyond.

We are non-governmental, non-religious and work with many local NGOs and community based organizations to implement our programs. We currently work in Bangladesh, Cambodia, India, Laos, Nepal, South Africa, Sri Lanka, Tanzania, Vietnam, and Zambia – countries with a desperate lack of resources to educate their children. Since our inception, Room to Read’s worldwide team has impacted over 7.8 million children by constructing more than 1,700 schools, establishing over 16,000 libraries, publishing 882 new children’s book titles in 27 local languages, and reaching over 25,000 girls through our Girls’ Education program.

Room to Read has an annual budget of approximately US$44 million and our global staff numbers over 600. Our global headquarters is located in San Francisco, and we have smaller fundraising offices in Delhi, New York, Hong Kong, London, Mumbai, Sydney, and Tokyo. We have program offices in Colombo, Dar es Salaam, Dhaka, Hanoi, Ho Chi Minh City, Kathmandu, Lusaka, New Delhi, Pretoria, Phnom Penh, and Vientiane.

Position Overview:

The Assistant to the Chief Executive Officer (CEO) & Chief of International Operations (CoIO) is an integral part of the CEO team at Room to Read. The Assistant is responsible for providing administrative support to both the CEO and to the CoIO as it relates to scheduling, booking travel, proofing/editing documents and presentations, and assisting with special projects as they arise. This role requires a very high level of attention to detail, organization and flexibility. The position will report to the Chief of Staff while working directly with the CEO and CoIO on daily tasks and projects. Duties & Responsibilities:

Serve as assistant and key point of contact for the CEO and CoIO, reporting to the Chief of Staff
Manage the Chiefs’ calendars, schedule internal and external meetings and calls across numerous time zones
Plan and coordinate extensive international and domestic travel itineraries, including flight arrangements, local travel, lodging and any other logistical needs
Organize, manage and maintain filing system and contact information for CEO and CoIO
Research and collate information for the Chiefs in preparation for internal and external meetings and help manage the Management Team calendar of deadlines
Calculate and submit accurate expense reports for the CEO and CoIO
Liaise closely with the Management Team and administrative staff. On behalf of the CEO, coordinate with board members, critical friends and high level donors.
Create and update PowerPoint presentations for internal and external use, and proofread emails and other internal and external communications and video scripts
Support Board of Directors, Board Committees, Management Team and Critical Friends meetings, including editing/proofreading documents and presentations, and provide logistical support for those meetings
Lead the monthly All Staff meeting and assist staff with presentation preparation when needed
Organize and facilitate projects and events for the CEO Team, International Operations Department and Management Team
Support the Finance and Legal Department and Development Department to facilitate the signing of documents
Respond to external requests for the CEO’s time at events and speaking engagements
Update and review donor and contact information in the Raiser’s Edge database
Undertake special projects, such as research projects, as needed
Prepare and coordinate agendas for conferences and key staff visits to the San Francisco Global Office

Qualifications:
Required:

Bachelor’s degree
1-5 years of related work experience in a fast paced, growth-oriented environment
History of dedicated volunteer activity and/or commitment to non-profit organizations
Adept at using Excel, Word, PowerPoint and Outlook
Detail-oriented and flexible
Proactive and tenacious troubleshooting skills
Ability to work independently and as part of a team
Ability to correspond both verbally and in writing with key stakeholders, donors and networks in a professional and timely manner
Results-oriented and strong work ethic
Ability to juggle multiple priorities simultaneously and take initiative
Excellent verbal and written communication skills in English
Legally eligible to work in the United States; no sponsorship provided

Preferred:

Previous Assistant experience for a C-level executive and/or Personal Assistant experience
Experience traveling and/or living internationally or working across cultures, and building relationships with diverse groups of people
