The ideal AA candidate would be able to handle multiple tasks, complete assignments with minimal direction, write well, and has an excellent attention to detail for inputting information into our documents and databases. AOK does not have an office, so we are looking for an experienced assistant who works well autonomously and will thrive on the flexibility provided by this position.
There will be times when minimal work is needed, and other times when the workload may be higher than the 10 hours a week. AOK is also beginning a significant growth phase, so this is an excellent position for someone who would like to grow within an organization.

General data management
Greater Giving software (donation/registration tracking) – AOK will train AA
MailChimp (for email/newsletter blasts)- AOK will train AA
Salesforce (donor tracking)- AOK will train AA
General Administrative Upkeep
Meet with the Executive Director regularly to set milestones and tasks
Check and respond to (within 24hrs) all AOK related emails regularly.
Maintain social media accounts (Facebook, Twitter, Instagram) as a means of both communicating AOK’s activities, as well as promoting its mission.
Disseminate monthly newsletter (drafted by ED)
Check post office box and process incoming mail.
Maintain and renew accounts to continuing services, (e.g., website hosting, MailChimp, Smugmug, LinkedIn, etc.)
Donor management and outreach
Maintain donor database (Salesforce)
Maintain donor records, including deposits and acknowledgement letters
Maintain mailing list and support other outreach
Monitor email, phone and mail for AOK
With support of ED and Board, prep all materials for invitations, mailings, and events.
Solicit and track donated items for silent auctions
Manage registration and check-out at fundraisers
Provide support for all events
Attend all Board meetings (2ndt Wednesday of each month)
Maintain Board documentation
Support for AOK Funded Programs
Maintain program contracts, records, and contacts
Provide Request For Proposal (RFP) packets to prospective grantees
Maintain online grant submission documents
Facilitate AOK site visits
