Footsteps nurtures a network of individuals so that they not only survive in their new world, but thrive. Since Footsteps’ founding in 2003, the organization has served more than 1,000 individuals. As the organization has grown to meet increasing demand for services, the staff has expanded from four to eight employees in the past two years, and for the first time, the organization’s budget is more than $1 million in 2015.

Job Description:

Footsteps seeks a talented professional to serve as the organization’s first Director of Operations and Planning to strengthen the organization’s infrastructure as Footsteps enters its second decade. The Director of Operations and Planning will ensure strong internal systems and will work with staff to coordinate organizational planning (program and budget), monitoring and evaluation. The Director of Operations will also oversee key administration functions including finance, human resources, information technology and facilities management. The Director of Operations and Planning will be a member of the senior staff team, work closely with the Executive Director, and will help to build an operations department. The ideal candidate will be a highly organized systems thinker.

Job responsibilities include but are not limited to:

Organizational Planning

Coordinate long term and short term organizational goal setting processes , including retreats and meetings to set and update organizational goals and strategic plan
Maintain organizational goals and assist directors in ensuring appropriate implementation
Maintain and communicate organizational calendar
Coordinate team meetings for all staff and senior staff

Data Management & Evaluation

Ensure that data about organizational constituents is effectively captured and organized; oversee integration of all constituents into Salesforce CRM
Work with program staff to develop and implement process and impact evaluation
Create and update organizational dashboards and generate reports as needed

Finances

Oversee building and monitoring of annual budget as well as specialized budgets for
foundations
Liaise with Board Finance and Audit committee
Manage finance consultants, including bookkeeper and accountant
Coordinate expense reporting, reimbursements and check-requests
Ensure organizational insurance coverage is strong quality, best value and renewed annually

Human Resources

Ensure staff are on-boarded and terminated appropriately, including the development and execution of staff orientation process
Oversee performance evaluation process and maintain personnel files
Liaise with benefits brokers and ensure Footsteps is offering competitive employee benefits
Update and maintain employee policies; oversee employees paid time off and leave; Liaise with organizational counsel to ensure appropriate implementation

Information Technology

Manage staff that liaises with IT consultants and vendors
Oversee selection of new consultants and vendors as needed
Maintain data security; develop, implement and train staff in organizational policies
Ensure staff computer network is well organized and maintained

Facilities Management

Ensure that program space and offices are orderly and stocked with supplies, managing staff assigned to these tasks
Maintain and update inventory of technology, office equipment and furniture Liaise with building management
Maintain PO box and supervise staff to ensure mail is collected and distributed daily

Competencies and Qualifications:

Passion for Footsteps mission
Excellent interpersonal skills, balance self-directive and collaborative instincts Track record for creating and driving goal setting processes
Experienced in managing staff and team building
Understanding of monitoring programs and assessing their impact; experience with data capture, analysis and reporting
Understanding of non-profit financial management
Familiarity with Salesforce, experience with migration and customization a plus
Experience with human resource functions — hiring, terminations, and implementation of HR policies — a plus
Experience with facilities and office management, a plus
Aptitude for use of technology to support organizational needs
Flexibility and responsiveness to evolving organizational priorities and job responsibilities
Bachelors required, MPA, MBA or other relevant degree preferred
5+ years of relevant work experience
