Senior Director of Operations – YWCA of the City of New York – New York

Responsibilities include but are not limited to:
HR Operations
Effectively manage HR team and oversee all HR operations: talent acquisition, payroll, applicant tracking systems and employee records to ensure accuracy and improve the overall operation and effectiveness of the organization.
Provide HR benchmarking and prepare reports as needed to support human capital data trends
for both internal and external parties.
Develop a strong understanding of the business and act as a business partner to influence and drive continuous improvement in the effectiveness and efficiency of people management practices.
Lead efforts to positively impact the employee experience and life cycle, including developing an employee-oriented company culture that champions collaboration, inclusion, career progression, teamwork, and recognition of exceptional performance; Provide advice and risk mitigation strategies for complex employee issues and concerns (both individual and collective).
Oversee and benchmark compensation against market rates.
Conduct and oversee the performance evaluation process for the organization.
Oversee and provide support for exempt and nonexempt recruitment and retention efforts
Assist employees and supervisors with questions and workplace problems and managing employee relations and conflict resolution.

Benefits
Oversee the benefit plan communication, enrollment and administration, including assisting employees with day-to-day questions about benefit plans
Manage relationships with benefit brokers and act as a liaison between employees and benefit providers to resolve problems and ensure effective utilization of plans.
Compile required non-discrimination reports for benefit plans as needed.
Monitor new hires, status changes, and terminations as they pertain to benefit eligibility
Serve as administrator for the Y retirement fund and the 403b: overseeing enrollment, and providing calculations to the fund per pay cycle and assisting in the preparation of the 5500 for 403B and Health and Welfare Plans
Act as point of contact for insurance broker including coordinating research for CEO to make
recommendations for renewals of Health, Dental, Vision plans
Support CEO in reviewing contracts and summary plan descriptions to ensure accuracy and compliance
Liaise with audit teams on issues related to HR, staffing, payroll, and benefits

Payroll
Oversee and serve as backup to the administration of the payroll bi-weekly process for both exempt and non-exempt employees
Audit pay for employees and accrual benefits for new hires, terminations, and/or other separation including vacation accrual, bonus payouts, and any other payroll adjustments
Compliance
Ensure employee handbook is current and updated with policies that meet the needs of the organization while ensuring compliance with state and federal laws, including COBRA, HIPAA, FMLA, ERISA, and applicable postings
Oversee the interview and new hire process and orientations, ensure compliance with onboarding based on company and legal requirements
Remain current with employment laws and regulations, and complying with all existing governmental and labor legal and government reporting requirements including any related to the Equal Employment Opportunity (EEO), the Americans with Disabilities Act (ADA), the Family and Medical Leave Act (FMLA), Employee Retirement Income Security Act (ERISA), the Department of Labor, worker compensation, the Occupational Safety and Health Administration (OSHA)
Manage annual certificates renewals (liability insurance, worker’s comp & disability), and supporting insurance issues related to programs (field trip certificates of insurance), across each program, summer programming, trips & special events and as needed for grants.
Work closely with senior program directors to ensure compliance with all staff background check and clearance requirements per funder contracts.
Finance
Oversee payables process to ensure accuracy and efficiency of all vendor payments.
Manage insurance, including renewals, claims and payments.
Maintain oversight and management of third-party financial services provider.
Work with CEO to ensure fiscal responsibility and well-being of the agency.
IT
Manage third-party information technology provider that manages helpdesk, security and IT purchases and upgrades; maintain office security protocols.
Strategy
Support the CEO in monitoring the organization’s culture so that it supports the attainment of the company’s goals and promotes employee satisfaction.
Work with CEO on strategic planning process and implementation of goals across the agency
Collaborate with the CEO on board presentations and reports
Special projects as requested by the CEO.

Job Qualifications
Master’s degree preferred; Bachelor’s degree required
Minimum of 10 years of experience
Deep knowledge of HR, including benefits and compensation programs, unemployment and labor laws, and record retention best practices
Experience with managing budgets and maintaining fiscal responsibility
Strong work ethic and professional values
Strong interpersonal, presentation and communication skills (verbal and written)
Self-motivated, able to work well independently and take an initiative
Ability to work collaboratively with a multidisciplinary team
Fiercely detail-oriented with ability to prioritize short-term needs with long-term planning.
Desire to learn and grow as part of an expanding organization, team player with a flexible, creative, and analytical approach to problem solving.
Experience in building and fostering an inclusive organizational culture
Flexible, organized, and dependable with excellent problem-solving skills
Able to manage multiple competing priorities and proven ability to meet deadlines
PHR, SPHR or other HR certification preferred
