Office Services Assistant, Office Services (Job #1525) – National Endowment for Democracy – Washington, DC

The National Endowment for Democracy (NED), a congressionally funded, private, nonprofit grant-making organization, seeks an Office Services Assistant for the Office Services Team. The position is based in Washington, DC. This position reports to the Senior Director for Human Resources and Administration.

Position Summary:

The Office Services Assistant will join the Office Services Team in providing copy, supplies, equipment maintenance, mailroom, room set-up and break-down, and off-site storage coordination services.

Responsibilities:

Meets the photocopying needs of all Endowment employees and ensure proper operation of the photocopy machine by performing preventative maintenance and bringing in service technicians.
Ensures that office supplies are available to employees at a low cost to the Endowment by taking inventory and stocking supplies on a regular basis.
Ensures that kitchen supplies are available by taking inventory and ordering when needed.
Handles orientations for new employees to office services and processes new identification pictures and badges.
Partners with vendors to replace supplies and schedules maintenance on equipment as needed.
Ensures that Endowment employees receive quality mail services by processing daily incoming and outgoing mail quickly; sorting and distributing incoming/collecting and stamping outgoing mail; tracking, maintaining and reporting postage levels in the meter.
Coordinates off-site file storage, maintain an up-to-date log of stored materials, prepare boxed files to be stored, and schedule storage deliveries and retrievals.
Serves as a resource to reduce work overload in other department by assisting with mail logging, special projects and miscellaneous errands.
Assists with internal office moves and relocating of furniture and office supplies.
Assists with the setting up of conference rooms for events.
Assists with Audio Visual equipment.
Serves as backup for the office administrator during breaks and vacations, and
Other duties and special projects as assigned.

Qualifications:

High School Diploma or GED.
At least two years of office experience required.
Physically able to lift boxes of office supplies, including paper up to 50 lbs.

Basic knowledge of MS Office.
Strong written and oral communication skills in English.
Attention to detail and the ability to multi-task.
Excellent customer service skills and strong ability to work effectively with all levels of staff to build good working relationships.
