Office Coordinator – CARECEN

Job Summary:
The Central American Resource Center (CARECEN) seeks to hire a full-time, Spanish bilingual Office Coordinator (“Office Coordinator”) at our satellite office in Van Nuys. The Office Coordinator will be responsible for office supply management, coordinating with other departments directly regarding office needs, data management and preparation of reports to funders and other stakeholders. The Office Coordinator will maintain physical records in the office, and the position may need to provide back-up support at the other CARECEN offices. The Office Coordinator will assist the Legal Receptionist/Intake Screener with reception duties. The Office Coordinator may assist in outreach and community education activities. The Office Coordinator reports directly to San Fernando Valley Office Managing Attorney.

Job Requirements/Essential Duties:
Coordinate supply orders for all staff in the San Fernando Valley Office, including retrieving supplies from the Los Angeles Office
Coordinate with IT Department and Administrative Team directly regarding office needs
Process incoming and outgoing mail for the office
Correspond with clients regarding case processing, updates, USCIS appointments and/or EOIR hearings
Maintain physical and electronic client records and assist with auditing
Translate documents from Spanish to English and vice-versa
Assist with reception coverage by greeting visitors/callers and providing general information on CARECEN’s services; pre-screening potential clients by telephone and in person; assisting clients in completing intake forms; and scheduling appointments when appropriate. Providing referrals for other social and legal service agencies as indicated by client needs.
Provide cashier services which includes receiving documents and client fees in accordance with organizational policy.
Support the receptionist in ensuring only authorized clients and visitors are allowed access to the office by appointment confirmation.
Conduct ongoing data entry; compiling and maintaining Legal Department statistics on an as needed basis.
Perform general clerical duties for the Legal Department on an as-needed basis.
Other duties as assigned by supervisor.

Required Skills/Qualifications:
Excellent attention to detail and effective time management is absolutely required.
Excellent verbal, interpersonal, and customer service skills with proven ability to interact in an appropriate manner with diverse groups of individuals, including clients, corporate and foundation representatives, government officials, and the media on a consistent basis.
Ability to exercise tact, diplomacy, discretion, and appropriate measures of friendliness when greeting/directing clients, receiving sensitive information, and providing information, referrals, or other assistance, required.
Good working knowledge of local nonprofits and their respective service areas –OR- the ability to quickly learn & understand availability of nonprofit services, required.
Flexibility/adaptability and the ability to work productively in a periodically stressful environment required; ability to receive and process large numbers of clients preferred.
Ability to work independently and creatively in problem solving strongly preferred.
Strong organizational skills required.
Spoken and written fluency in English and Spanish languages required and will be tested at the interview.
Basic Windows-based computer skills in word processing strongly preferred.
High school degree or equivalency required; some college highly desirable.

Work Schedule: The work schedule for this position is a 35-hour workweek – 7-hour workdays. Office hours are 9:00 am to 5:00 pm, Monday – Friday. Work is performed in a variety of work settings, including CARECEN’s offices, workspace provided by others, libraries and other government facilities, among others. The position may involve some evening and weekend work.

Travel Requirement:
Ability to travel to CARECEN offices, and other off-site locations. Mileage reimbursement is available. Ability to drive with a valid CA license and a registered vehicle is preferred.
