Receptionist / Accounting Clerk – League of United Latin American Citizens

Position Description: Oversee Front Desk activity; greet all visitors, while operating multi-line telephone system to relay incoming, outgoing, and interoffice calls for a variety of audiences ranging from the public to high-level officials. Also responsible for ordering office supplies, setting up meetings and sorting incoming and outgoing mail. This position also serves an accounting clerk. Duties includes; compiling, filing and sorting documents, substantiating business transactions, inputting cash receipts transactions; prepares invoices; and other accounting duties as directed by the Comptroller.

Duties and Responsibilities:
Reception Duties:
· Answer incoming calls using a multi-line phone system
· Answers inquiries from the public and refers them to appropriate resources using agency website, internet, and local membership councils
· Greet visitors, log them in and out of the facility, and contact employee escorts
· Process incoming and outgoing mail, packages, and deliveries
· Place catering orders for meetings
· Tracks, maintains and orders office supplies as directed
· Assist with booking travel reservations
· Assist Operations Manager with sub-tenants and special projects.
Accounting Clerk Duties:
· Compiles, files and sorts documents, such as invoices and checks, substantiating business transactions
· Input cash receipts transactions into appropriate database
· Prepare invoices for corporate sponsors and other donors
Audits invoices against purchase orders, researches discrepancies, and prepare for payment
Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews for accuracy
Reconciles report discrepancies and problems
Inputs data into specialized databases to according to company procedures
· Undertake other assignments as requested by the supervisor
US Citizen or Permanent Resident Required
Knowledge, Skills, and Abilities:
Proficiency in oral and written communication in English and Spanish;
Ability to work with minimal supervision, manage multiple projects and duties simultaneously, prioritize, and recognize when it is appropriate to seek guidance from supervisor;
Strong attention to detail, and a quick learner;

Working knowledge of Microsoft Office Suite;
Experience with Internet tools, using social networks and online communication
· Knowledge of database software, preferably Abila Fund Accounting Software
· Experience or knowledge of basic accounting principals

Accrual of 8 hours of sick time and 8 hours of vacation time per month.
