Financial Assistant – Support Center for Child Advocates – Philadelphia

Summary:
The Financial Assistant will support the Controller in the preparation, processing, and maintenance of fiscal, accounting records and transactions. The Financial Assistant also processes payroll. This is a full-time, hybrid role, reporting to Controller.

Major Duties:
May perform any or all of the following duties.
Accounts Receivables & Banking: Process bank deposits & credit card donations; review and maintain cash receipt documentation.
Accounts Payables: Manage AP approval process for vendor invoices, credit card transactions, staff expense reimbursements. Record approved AP in Financial Edge. Prepare manual checks. Reconcile credit card statement & vendor statement. Resolve tax exemption issues. Maintain updated vendor W-9.
Mail receiving & file archiving: Scan accounting mail & correspondence. Maintain orderly digital accounting filing system. Process file destruction per Controller’s instruction.
Payroll & 401K(Loan): Process bi-weekly payrolls and remittance to staff’s retirement plan.
Transportation support: Provide work-related transportation support to staff, including: administration of transit and car share accounts; and staff enrollment, termination, claims, billing, ordering process, etc.
Fiscal grant management support: Assist Controller in fiscal grant management activities including: budgeting, expense tracking, documentation, reporting, and others
Financial & audit support: Support Controller in budget development, audit prep and auditor field visits, and other management of agency finance and accounting practice.
Other projects as assigned by Controller

Qualifications & Benefits:
Bachelor’s degree in Accounting, Finance, Business or related field preferred. Accounting background and interest in bookkeeping required.
5+ years of experience in payroll administration, bookkeeping, accounting and/or related activities.
Computer skills and Excel experience required. Experience with Blackbaud Financial Edge preferred.
Ability to communicate effectively and professionally to all levels of the organization is essential.
Detail-oriented skills, reliability, problem-solving ability, adaptability, integrity, strong work ethic.
