Production Coordinator – AIDS Walk San Francisco

AIDS Walk San Francisco is seeking a Production Coordinator to be a part of our production team for the 29th annual AIDS Walk San Francisco on Sunday, July 19, 2015. AIDS Walk San Francisco is a 6.2-mile fundraising walk-a-thon in Golden Gate Park. With more than 20,000 participants, it is the largest AIDS fundraising event in Northern California. AIDS Walk San Francisco benefits Project Inform and many other local AIDS service organizations in the Bay Area

The following position is full-time and temporary.

Start Date: April 20, 2015

End Date: July 24, 2015

Hours: Monday-Wednesday-Friday: 9 a.m.-6 p.m., Tuesday-Thursday 11 a.m.-8 p.m. Some weekends and long hours are required throughout the campaign, including July 18 and July 19. Hours are subject to change.

Location: South of Market, San Francisco

Summary of duties and responsibilities:

The Production Coordinator will work cross-departmentally with the Teams and Event Operations Departments. Primary responsibilities include coordinating large mailings, supervising volunteers, and overseeing operation of the follow-up phone bank. A strong candidate will have previous experience supervising volunteers, excellent interpersonal skills, and demonstrated ability to work with diverse populations. Ideal candidates will thrive in a fast-paced, goal-oriented environment and be able to work long, often unsupervised hours. Experience working in a non-profit environment is a plus. This position is a full-time, temporary campaign position.

Primary duties and responsibilities:

Responsible for expeditious and accurate processing, tracking, and delivery of large mailings.
Assist in supervision of daytime and evening volunteers with mailings and other projects, ensuring that volunteers are kept focused and motivated.
Coordinate follow up phone bank. Write phone bank scripts, create reports, and track responses.
Phone and email outreach to registered participants and Team Leaders.
Recruit new AIDS Walk Team Leaders through phone calls and email communications
Build positive relationships with volunteers and encourage them to return.
Maintain database records and track team participation and money collection.
Assist in data preparation, entry, and analysis.
Support a variety of campaign activities including event set-up/break-down and promotion.

Qualifications and experience:

Detail-oriented with strong organizational and time-management skills.
Proven ability to thrive in a fast-paced work environment.
Ability to work diligently, multi-task, and general willingness to take on additional

responsibility as necessary.

Experience working in any capacity as a volunteer. Preference will be given to candidates with supervisory skills, project management skills, and/or substantial volunteer experience.
Ability to work effectively with a wide variety of individuals, including volunteers, staff, donors, and the general public.

Proficiency with data entry and database computer systems including Microsoft

Word and Excel, and the ability to learn other database programs (i.e. ACT database software)

Sensitivity to cultural and personal differences in age, ethnicity, sexual

orientation, gender, race, ability, etc.

Additional language skills i.e. Spanish, American Sign Language a plus.
Must be capable of doing physically demanding work and able to lift 25 lbs.
