International Summit Coordinator – Silver Spring – Association of University Centers on Disabilities

Job description
The Association of University Centers on Disabilities (AUCD) seeks a part-time coordinator to plan and execute the inaugural Harkin International Disability Employment Summit, of which AUCD is the primary coordinating entity. This is a temporary, part-time position at approximately 20 hours per week and will run from April 2016 to December 31, 2016. The summit will take place on December 8-9, 2016 in Washington, DC. The in-office hours of the position are negotiable, outside of pre-set Summit committee calls that take place every two weeks.

Coordinator scope of work:
The Summit coordinator will be expected to provide overall coordination, planning and execution of the following Summit activities (including but not limited to):
– Coordinate and create agenda and distribute information for bi-weekly calls that take place every other Thursday from 10-11am ET with the Summit planning committee composed of representatives from AUCD and various national and international disability organizations and stakeholders.
– Assist with the RFP, bidding and decision process for an event firm to support the Summit as well as primary coordination of the event firm leading up to and during the Summit.
– Coordinate all design aspects for the Summit such as the logo design, website design and content, and save the date/invitation emails.
– Coordinate all logistical aspects of the Summit including:

Registration
Liaising with the meeting firm on all hotel logistics such as space, rooms, F&B, AV, etc.
Providing travel coordination information for all international attendees including travel planning for attendees that AUCD is sponsoring to attend (including visas).
Ensuring accessibility accommodations are identified, planned for and supported on-site including the interpreter services.
Scheduling and coordinating translation services for the Summit.
– Work with the planning committee to develop the program and agenda, identify speakers and coordinate all speaker details including invitations, travel, on-site support, payment and other post-Summit follow up.

– Assist with fundraising aspects for the meeting including:

Sponsorship of international travel—target–$40,000
Corporate sponsorships—target $50,000
– Coordinate the drafting and final printing of the Summit program and any other materials.

– Corresponding with all Summit attendees leading up to the Summit and after.

Qualifications:
This position requires the ability to prioritize and multitask as well as recognize problems and respond with a sense of urgency, use good judgment and make thoughtful decisions.
Experience with meetings and events required.
Experience with managing international travel and attendees preferred.
Experience working with and supporting people with disabilities a plus.
Some exposure to raising money for events and supporting sponsors is preferred.
Proficient with Word, Excel, PowerPoint and basic internet research.
Strong communication, writing, and interpersonal skills.
Exceptional attention to detail and organizational skills.
Excellent time management with a strong aptitude to manage multiple projects/tasks simultaneously.
Maturity to handle confidential and sensitive information in a professional manner.
Demonstrated ability to work autonomously and in a team.
