Development / Events Database Administrator – Breast Cancer Research Foundation – New York, NY

Position Summary

The Database Administrator will provide administrative support to the Development and Events Department and serve as the primary resource for the Raiser’s Edge database and the processing of Raiser’s Edge data queries, reports and mailing lists. He/she will process, reconcile and acknowledge gifts while managing the system and procedures used in the gift acknowledgment process. Duties include evaluation of the Foundation’s donor database (Raisers Edge) to help steward donors and identify gift prospects. This position is the primary gift entry position and will also prepare donor acknowledgement letters, receipts and pledge reminders. This position reports directly to an Associate Director, Development and Events.

The successful candidate must have exceptional internal and external customer service skills, and enjoy working in a fast-paced, collaborative environment. He/she must have excellent oral and written communication skills, be highly organized, very detail-oriented and accurate. He/she must also be able to multi-task, prioritize, meet frequent deadlines, and work in a fast-paced office environment.

Responsibilities

Serve as the Development and Event department’s Raiser’s Edge expert and maximize the database’s potential to enhance BCRF’s ability to raise money, communicate with donors, and track pledges and giving.

Manage the department’s gift entry into donor database, while maintaining event department policies and protocols for filing donor information (including soft copy and paper donor files), performing prospect management, governing its operations and integrity, and serving as the primary point-of-contact for its use.
Code and enter all event gifts, pledges and proposals into Raiser’s Edge.
Process online and credit card gifts.
Prepare and send standard and customized acknowledgement letters to all donors for all event department revenue.
Record pledges and matching gifts, prepare invoices and ensure collection of pledges and invoices through timely reporting and follow-up with appropriate staff and/or donors.
Capture new and updated donor information in the database to ensure accuracy in reporting, including appropriate record links to related constituents.
Generate special event gift reports detailing individual, corporate, foundation, in-kind revenue and outstanding gifts.
Use Raiser’s Edge database and other Blackbaud products (including Import-O-Matic) to run specific queries and reports, input and update data.
Keep appropriate records of gifts (accompanying letters, copies of payments) for documentation and future reference/research by staff.
Maintain the overall integrity and quality of the donor and grant databases, including regular data improvement and hygiene, enforcement of database business processes and management of code values, business rules and other set-up functions of the databases.
Perform regular event revenue reconciliation between financial reports and corresponding gift entries in Raiser’s Edge.
Write and update gift acknowledgement letter templates with the Assistant Director, Development.
Create targeted mailing lists for event communications, solicitations, and invitations.
Create targeted constituent queries, reports, templates and processes to support donor acquisition strategies/initiatives.
Provide prospect research support to the development and events team, President, Chief Development Officer, and other key volunteers as assigned, including prospect research materials and screenings.
Ensure that donors and supporters receive high-quality service.
Provide additional support for event and development efforts as needed.

Qualifications

BA/BS or equivalent and 3 to 5 years’ experience in the field of data base management, specifically with Raiser’s Edge.
Candidate must be highly proficient with Raisers Edge and Excel.
Candidate must be tech savvy, curious with data, detail-oriented and have superior knowledge of Microsoft Office and the Internet.
Experience working with a diverse portfolio of donors, volunteer leadership and a busy fundraising team.
Ability to plan, manage projects from start to finish, prioritize and follow through within a given timeframe is critical.
Relishes training and helping other staff analyze data to obtain the information they need
Works well under pressure and when handling a large volume of work.
Possesses a strong sense of humor, positive can-do attitude, patience, and flexibility.

Ability to handle confidential matters with discretion.
Excellent written and oral communication skills, strong telephone etiquette, ability to deal with potentially difficult callers.
High degree of initiative and resourcefulness, with the ability to work independently with limited supervision and as a member of a team.
Willingness to assist all teammates with any given task.
Ability to represent the organization in a professional manner.
