Position Summary:

The Database and Donor Relations Manager reporting to the Senior Director of Development will focus on database management, gift processing and acknowledgements, donor data reporting and analysis, and donor services.

Duties and Responsibilities include the following. Other duties may be assigned.

Primary responsibilities include:

Manage and provide training and support for the Chapter’s Raiser’s Edge and Convio Luminate databases, ensuring they support the transactional information needs of the Chapter.
Monitor general usage guidelines and best practices, including, but not limited to data hygiene, donor acknowledgements, tax receipts, training materials, and database security and maintenance.
Create and customize defaults, queries, and exports for the development staff.
Prepare financial reports and complete bank reconciliations with the Director of Finance.
Process, track, report, and acknowledge gifts in an accurate and timely manner, in conjunction with database guidelines and processing.
Respond to any and all donor requests and triage requests to the appropriate staff when necessary.
Manage accurate recording of new and existing pledges and establish new systems for issuing pledge reminders and recurring gift renewal.
Manage matching gift program and auto donations program, including processing.
Work with National staff members to coordinate exchange of donations, the planned giving program, and the direct mail campaign.
Troubleshoot problems, improve overall processes, and ensure deadlines can be met even during periods of heavy gift volume.
Participate in meetings relating to any resolutions to link/sync Chapter databases.
Enter all Raiser’s Edge checks into the database and assist with Convio checks when necessary.
Train staff in best practices for both Raiser’s Edge and Convio.
Manage direct mail and planned giving programs in partnership with National.
Manage returned mail and update addresses as appropriate.

Qualifications

· Proficiency with Raiser’s Edge and Convio Luminate Online.

· Experience with ImportOMatic preferred.

· Bachelor’s degree desirable; or three to four years related experience and/or training; or equivalent combination of education and experience.
·Basic knowledge of donor services, tax receipt and acknowledgment production and process.

Ability to work cross-functionally with Chapter staff, board of directors, high level volunteers, and donors.
Ability to write reports, business correspondence, and procedure manuals.
Commitment to organization, attention to detail, highly efficient and conscientious about thorough follow-up.

Demonstrated knowledge and understanding of relevant gift reporting and accounting requirements to ensure compliance with IRS and FASB regulations and industry standards.
Skilled communicator with superior interpersonal, verbal, and written skills.
Able to handle important information and maintain a high level of confidentiality.
Ability to work under and comply with continuous and multiple deadlines and evolving priorities. Manage multiple projects simultaneously.
Excellent organizational and writing skills as well as diligent attention to detail.
Must be available to work several weekends to attend special events and support the event staff.
Qualified candidates must have the ability to successfully pass a background check.
