The Drug Policy Alliance has an immediate opening for a Part-Time Administrative Associate reporting directly to the State Director of the New Mexico Office.

The Drug Policy Alliance (DPA) is the nation’s leading organization of people who believe the war on drugs is doing more harm than good. Civil liberties and rights
International drug control
Alternatives to prohibition and pragmatic steps for ending the drug war

The Position

The Administrative Associate will report to the State Director and support and coordinate the efforts of all employees based in the NM Office. Candidates should be committed to promoting drug policy reform and the principles of harm reduction.

Primary Responsibilities

The Administrative Associate will be responsible for:

Serve as liaison to vendors, building managers, tenants, contractors, and other outside sources and contacts
Pay bills and prepare expense reports
Processing incoming and outgoing mail
Proofreading and editing correspondence, fact sheets and other written materials
Coordinate office correspondence, including routing or responding to phone calls, email, fax, mail
Track and order office supplies, food and beverages
Manage computers, phones, the copier and other office technology
Make travel arrangements for staff
Receive and orient visitors
Plan and manage receptions, staff holiday parties and other special events, including ordering food and creating, preparing and collecting materials, props, signs, etc.
Assist with planning and managing fundraising events
Manage office membership lists
Track and report staff time and attendance
Take notes and produce minutes of meetings
Type letters, memos, correspondence, etc. utilizing Microsoft Office
Conduct basic internet research, as needed
Maintain computer and paper files
Legislative Tracking
Prepare for and orient new hires and interns
Provide administrative support to visiting staff
Assist generally with office projects as needed

Qualifications

The ideal candidate will have:

Knowledge of office and administrative practices and principles
Excellent computer skills including Microsoft Outlook, Word, Excel and basic online research
Strong interpersonal skills and a professional demeanor when interacting with the public whether by phone, email or in person
Excellent verbal and written communication skills
Ability to work under pressure and meet deadlines
Familiarity with drug policy and harm reduction preferred but not required

Terms of Employment

This position requires the candidate to live in the New Mexico area. Telecommuting will not be allowed. Some travel required.
