Operations Manager – Zaccho Studio – San Francisco, CA

Job Purpose

The Operations Manager provides administrative support to the organization and ensures that all programs run effectively.

Essential Duties and Responsibilities

1. Provides bookkeeping services for all financial transactions

Updates all financial transactions in QuickBooks.
Reviews financial transactions with Finance Officer on a weekly basis.
Maintains hard-copy records for archives.
Writes checks for accounts payable.
Submits invoices for all studio renters.
Records receipts of all money received.
Completes banking transactions.
Reconciles accounts with the oversight of the Finance Officer.
Works with external payroll company to ensure prompt and accurate processing of payroll.
Gathers documents and records for end-of-year financial reports.
Compiles 1099 tax information for the accountant.
Prepares documentation and reports for workers’ compensation.

2. Provides administrative support to the Executive/Artistic Director and to all department heads

Oversees Marketing Coordinator for website content.
Sends out approved mass emails and mailings to promote Zaccho events.
Updates email contact lists.
Facilitates communication between departments.
Supports Artistic Director selected projects by organizing logistics and information.
Works with the Youth Performing Arts Program manager as needed particularly with the year-end production

3.Serves as office manager

Answers telephone, checks voicemail, emails, mailbox, and distributes incoming messages to departments as needed.
Stocks office and studio supplies as needed.
Schedules, facilitates, and takes minutes at weekly staff meetings.
Attends occasional Board meetings and take minutes.

4. Assists with program productions

Works with the Youth Performing Arts Program manager as needed particularly with the year-end production.
Recruits, supports and assigns volunteers during performance seasons and special events.
Facilitates contracts, programs and logistics as requested.
Occasionally represents the organization at performances.
Works with staff to debrief performances and plan for next event.

5.Serves as Community Liaison

Attends community events and meetings to represent Zaccho when requested by Executive Director.
Conducts community outreach by meeting with members of the community to publicize work of Zaccho and enlist support.
Updates social media posts with support of Marketing Coordinator.

Other Duties and responsibilities

Participate in Zaccho’s strategic planning as requested.
Supports Zaccho’s goals with other tasks, as needed.
Occasional evening or weekend hours.

Qualifications

Minimum 2 years as an office manager or operations manager required.
Experience in arts administration preferred.
Experience as a bookkeeper preferred.
Must be highly organized.
Strong customer service skills.
Strong written and oral communication skills.
Demonstrated fast learner.
Must be flexible and willing to shift priorities as necessary.
Proficiency with QuickBooks, Word, and Excel, social media.
Experience with Photo Illustrator and web design a plus.
Comfortable with using and trouble-shooting office equipment including printers, scanners, fax etc.
Experience and/or interest in dance is preferred.
