Executive Assistant to the President & CEO – Studio in a School – Collegeville, PA

Through the creativity and imagination of the visual arts, Studio in a School (Studio) has enriched the lives of more than 750,000 children residing in the five boroughs of New York City since 1977. Studio brings professional artists into schools and community organizations to lead classes in drawing, printmaking, painting, and sculpting, and works with teachers to link art with other academic subjects. Partnering with administrators, artists, supporters, and members of the New York City Board of Education, Studio dedicates itself to providing students with a full and meaningful visual arts experience. Each year, Studio offers a variety of programs to more than 150 New York City schools, taught by nearly 90 professional artists who devote over 45,000 hours to more than 30,000 Pre-K through high school students. Approximately 90% of all children who participate in Studio programs come from low-income homes. Studio’s Residency Program provides residencies ranging from 6 weeks to one academic year, with a primary focus on 2nd through 8th grade.

Primary function

The Executive Assistant to the President & CEO manages the day-to-day activities of the President & CEO, enabling him to focus on strategic and added value projects. S/he serves as a liaison between the President & CEO and the Board of Directors, high net-worth individuals, foundations, government officials, school principals, and staff and ensures the smooth functioning of the executive office.

Major responsibilities

Act as the gateway to the President & CEO, screening incoming calls and emails and prioritizing and managing all contacts
Effectively represent the President & CEO in all correspondence and communication
Manage President & CEO’s calendar
Identify items that require action, referral, or response, and ensure appropriate and necessary follow-up
Compose and edit internal/external correspondence, presentations, and other documents, ensuring completeness and accuracy
Handle a wide variety of support functions, including invoices, scheduling and expense reports
Attend meetings, take notes, issue conference reports and maintain corporate records
Support President & CEO on special projects

Excellent interpersonal and communication skills
Exceptional organizational skills, attention to detail and judgment
Advanced MS Office skills including superior Excel and PowerPoint ability
Excellent business writing skills
Experience managing multiple projects and deadlines in a fast-paced environment
Proactive and independent
Ability to handle confidential information with discretion
Flexibility and sense of humor

Qualifications

Bachelor’s Degree
5+ years of administrative experience; strong preference for experience supporting a high level executive
Interest in and knowledge of art, New York City Public Schools, and visual art education
