Institutional Giving Mangager – Pesticide Action Network North America – Oakland, CA

The Institutional Giving Manager, PAN’s principal proposals and funding reports writer, coordinates the applications and reporting processes with PAN’s institutional donors (including large foundations, family foundations, agencies, donor-advised funds and business supporters). S/he researches, plans, writes and submits grant applications; maintains systems for grant tracking and management within PAN’s constituent relationship management database (Salesforce); prepares and submits reports; and evaluates and proposes improvements in the grants program. The Institutional Giving Manager reports to the Development Director and works with the Executive Director and program and finance staff to prospect, secure and manage grants and contracts at every stage to meet annual and long-term resource development targets.

The primary function of this role is to increase and retain institutional and family foundation supporter. Within the three-person fundraising team, the Institutional Giving Manager’s priority is coordinating proposals and reports, but s/he may also provide expertise and support to other team efforts as necessary, such as assistance with the donor newsletter, evaluating fundraising premiums, special events and membership mailings. S/he may also supervise development interns.

Specific Responsibilities

The Institutional Giving Manager’s responsibilities include:

Conducting prospect research;
Scheduling and leading internal meetings to ensure the organization meets important submissions deadlines;
Coordinating concepts and strategies for institutional donors and prospects;
Drafting proposals and reports;
Proofing and editing proposals and reports;
Maintaining and creating the database and files on all institutional donors, and creating progress reports;
Tracking all grant and contract deliverables, and involving relevant staff in the reporting process;
Handling official grant and contract paperwork;
Handling routine correspondence with funders, and contacting funders as needed regarding submission dates and guidelines;
Providing other writing expertise and support for projects on occasion as assigned by the Development Director; and
Providing support for other fundraising tasks from time to time, in coordination with the Development Director.

Qualifications

The Institutional Giving Manager position requires the ability to be proactive in managing multiple deadlines and ongoing projects, often in coordination with several members of PAN’s staff. Candidates must be flexible and able to work independently while meeting. Evidence of strong and relevant writing skills required; previous experience in drafting fundraising materials for nonprofits is preferred. Familiarity with MS Word and Excel is required; knowledge of Smartsheet or other project management applications, and of Salesforce or other CRM programs, is a plus, as is familiarity with graphics software. Willingness and aptitude to learn and use new software applications and tech tools is required. Other requirements include: demonstrated attention to detail in maintaining information and administrative systems; good public presentation skills and aptitude for dealing professionally with the public; appreciation of and experience with diverse cultures; and interest in issues affecting the environment, sustainable agriculture, food security, public health, international development, human rights and social justice.

Ideal candidates will have at least two years’ experience in grant writing, fundraising and other nonprofit administrative work, including maintaining databases, building relationships with donors and securing contributions. The strongest candidates will have experience in prospect research and building relationships with foundation program officers and major donors. Fluency in Spanish is a plus.

Employment Status

The Institutional Giving Manager is a member of the Development Department and reports to and is supervised by the Development Director; s/he also works closely with program, finance and administrative staff. The Institutional Giving Manager is an exempt full-time salaried position. Exempt employees serve in a managerial or professional capacity, and are excluded from specific provisions of federal and state wage and hour laws, including overtime pay. The Institutional Giving Manager is responsible for managing her own time and working effectively in a team setting. The Institutional Giving Manager should be able to attend occasional events and other off-site functions in the evening and on weekends. Travel is rare but may be required, for which he or she may make adjustments to his or her schedule.
Compensation

Starting salary rate ranges from $49,150 to $55,150, depending on qualifications and experience. Benefits include excellent health coverage, insurance and retirement contributions.
