Electronic Health Records Application – Planned Parenthood Northern California – Concord, CA

PPNorCal is currently seeking a full-time Electronic Health Records Application Specialist. This individual is responsible for the set-up and maintenance of the Electronic Health Records (EHR) application by supporting and understanding clinical processes and workflow optimization. The Electronic Health Records Application Specialist also maintains medical practice and electronic health record software applications/functionalities/requirements; manages special projects including the NextGen Patient Portal, tablet based history collection in the waiting rooms and on-line appointment booking. This individual works as a member of a team and reports to the Director of EHR on special projects and activities.

This is an exempt, full-time position, working 40 hours per week. Salary is DOE.

ESSENTIAL RESPONSIBILITIES INCLUDE:

Manage NextGen Patient Portal to optimize usability for clients and efficiency for the organization.

Develop and implement systems for maximizing patient use of the portal and achieving Meaningful Use Stage 2 of EHR Incentive Program.

Manage On-Line Appointment booking through Patient Portal and PPFA On-line Appointment Scheduling (OAS).

Develop and Implement program for on-line history collection, including:

Work with Voxent/Inforth to develop custom on-line forms.

Establish workflow for history collection on tablets in waiting room.

Manage process for selection and implantation of necessary hardware.

Ensure all MU stage 2 measures are met and work with EHR Director to attest for all providers.

Evaluate current clinical workflow and develop work flow required for EHR optimization.

Evaluate new releases of Voxent templates and NextGen software.

Provided feedback and enhancement requests to Voxent.

Configure EHR and file maintenance as assigned.

Participate on PPNorCal EHR Core Team.

Work directly with the software vendor on the development, set up, and design of the EHR system.

Maintain the accuracy and integrity of software information by performing quality assurance audits within the Medical Services Department.

Under the direction of the Director of EHR, develop policy and procedures associated with NextGen EMR.

Work with PPNorCal training staff to develop curriculum and training materials for EHR implementation and on-going operations, deliver training as needed to supplement training staff.

Provide on-site and telephone help desk support for on-going EHR questions.

Serve as a resource to all health centers to support ongoing improvements to clinic operations by providing feedback of the capabilities of business and clinical applications and complete necessary changes, feedback, and ongoing training support.

Make recommendations for application modifications to improve clinic workflow efficiency and productivity of clinic staff.

Develop departmental presentations using PowerPoint, Excel, Crystal Reports and Access.

Perform all data entry into the application as needed.

Adhere to all regulatory and HIPAA requirements.

Assist Director of EHR on special projects and activities as needed.
Serve as liaison between our internal customers and other EHR professionals.
Additional duties may include: taking minutes from meetings, chairing meetings and drafting correspondence.

MINIMUM QUALIFICATIONS:

Bachelor’s degree (B.A.) from four-year college or university; or one to two years’ related experience and/or training; or equivalent combination of education and experience.

In-depth knowledge of Electronic Health Record/Practice Management Systems, NextGen experience preferred.

SQL experience desired, but not required.

Knowledge of spreadsheet software and word processing software.

Proficient in the use of the internet and email applications.

Ability to learn and understand PPNorCal’s current web presence, NextGen Patient Portal and ability to integrate systems across different platforms.

Understanding of clinical workflow processes and the ability to interpret into application screen design.

Knowledge of medical practice management applications.

Willingness and ability to adapt to change, including advances in technology.

Ability to build consensus and work effectively across departments and organizational levels.

Excellent verbal and written communication skills, including the ability to develop and maintain relationships with others.

Strong organizational skills, attention to detail and ability to handle tasks independently.

Ability to prioritize multiple projects and meet deadlines.

Willingness to work flexible hours, including evenings and Saturdays and to work at and travel between centers to provide feedback on integration of software into clinical workflow.

Willingness to carry a mobile phone, take calls, and respond to user problems promptly.
