Executive Assistant to the Director – National Children’s Alliance – Washington, DC

Position:

The Executive Assistant to the Director functions as the confidential assistant to the Executive Director of National Children’s Alliance and also serves as the staff liaison to the Board of Directors. The Executive Assistant is responsible for coordinating the operations of the office of the Executive Director of NCA including scheduling, heavy travel arrangements, assisting in policy dissemination and implementation, managing information flow in and out of the office to ensure the consistent and timely progress of programs and projects, and assisting in the accounting and finance functions of the Executive Director’s office where needed. The Executive Assistant is the staff support to the Board of Directors, and will organize and staff all Board and Executive Committee meetings. This is a position that requires significant organization, flexibility, creativity, and the capacity to manage many projects at once.

Areas of Responsibility

Disseminating and assisting in the explanation and implementation of NCA policies and procedures
Managing information flow into and out of the Executive Director’s office to ensure efficient and timely completion of projects
Heavy schedule management including:
Using discretion to prioritize meetings to ensure manageable workloads
Extensive travel arrangements and logistical preparation
Developing background information for the Executive Director’s public speeches, media appearances, and high-level policy meetings.
Providing general administrative support to the Executive Director including maintaining critical files and managing the paper flow of important organizational documents
Managing NCA’s conferences and events as they relate to the office of the Executive Director
Managing expense reports, preparing reimbursements, and reconciling corporate credit accounts as they pertain to the office of the Executive Director
Special projects as assigned
Serving as the first contact for NCA’s Board of Directors for all logistical and technical questions
Providing technical assistance on travel and lodging to Members of the Board
Scheduling and coordinating all meetings of the Board of Directors and Executive Committee
Producing and coordinating materials for all Board of Directors and Executive Committee meetings
Executing the search process for Board meeting locations including:
Adhering to DOJ guidelines for federally funded meetings
Negotiating contracts with hotels/meeting locations
Managing all federal approval processes with OJJDP for meeting requests
Providing excellent and timely communication to the Board of Directors on any and all inquiries
Other duties as assigned

Minimum Qualifications:

Bachelor’s Degree or equivalent
Outstanding interpersonal and communication skills
Excellent organizational and management skills—able to stay on top of many details at once
Solutions-oriented, collaborative, self-directed, and self-disciplined
High energy and passion for National Children’s Alliance’s mission is essential
Demonstrated poise and grace under pressure
Creative problem solving
Ability to anticipate needs
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Experience drafting written correspondence at the executive level
Personal Transportation that can be used for office errands
Availability to travel as required
Positive attitude and sense of humor
