Executive Assistant – South Bay Workforce Investment Board – Hawthorne, CA

Salary & Benefits:

This is a full-time position (35-40 hours/week) with benefits. We offer a competitive salary commensurate with experience. Minimum Qualifications:

Graduation from an accredited college with an Associate’s Degree in Social Sciences, Business, Public Administration, or a related field; at least five (5) years of full-time equivalent experience as an Executive Assistant or Secretary to a Director or CEO (experience may be substituted for education on a year-for-year basis); Demonstrates ability to handle confidential information appropriately; Exhibits excellent organizational skills and attention to details; Extensive knowledge of general office manners, routines, and procedures; Highly proficient in Microsoft Word, Outlook, and other applicable software programs; Proficient in initiating, developing, and managing projects through completion; Vast knowledge of existing technologies that support the efficient and effective operations of an organization; Proficient in typing.

Essential Duties and Responsibilities:

Under direct supervision of the Executive Director, the Executive Assistant will be responsible for the following duties:

Compile, assimilate, and prepare confidential and sensitive documents for the Executive Director and Board of Directors.

Compose letters, emails, and/or memorandums at the direction of the Executive Director.

Composes complex documents (e.g. meeting summaries, correspondence, agendas, minutes, legislative letters, reports, etc.) for the purpose of communicating information to personnel, board members, and public.

Communicate with office managers and program managers in preparation of Board packets.

Assist with processing Statement of Economic Interest and update and maintain SBWIB’s Articles of Incorporation and Bylaws.

Maintain records, documents, and other confidential information and files.

Maintain lists of elected state and local officials.

Serve as secretary to the South Bay Workforce Investment Board of Directors.

Perform a variety of executive support tasks that are highly confidential and sensitive.

Ability to build and maintain relationships with administrative staff at cities within our service area.

Maintain positive communication and work collaboratively with superintendents, office staff, program staff, local businesses and board members.

Prepare agendas and organize materials for meetings.

Prepare, distribute, and maintain Board minutes and meeting schedules.

Maintains inventories of supplies and materials for the purpose of ensuring items’ availability.

Responds to inquiries, including answering the telephone for the purpose of resolving problems, providing information and/or referring to appropriate personnel.

Maintains a professional work appearance at all times.

Performs other such duties as may be assigned by the Executive Director.

Working Conditions:

While performing duties of this job, the position will require that you work primarily in an office based setting that may require spending the majority of the day walking, standing, sitting, bending, and lifting. Generally the job requires 80% sitting, 20% walking, and % standing. Applicant will be required to travel to offsite meetings and other office locations; reliable transportation is helpful.
