Position Summary:

Under direct supervision from the Executive Director, the Executive Assistant performs technical and specialized administrative support and oversight to various projects; and performs related work as required. Applicants with well-developed administrative skills are expected to learn additional technical and specialized rules, regulations, policies, procedures and activities related with the position. Responsibilities:

The Executive Assistant provides high-level administrative support to Directors by handling more complex responsibilities, such as reviewing incoming documents, conducting research, preparing reports, project management support, information requests, and performing clerical functions correspondence, receiving visitors, arranging conference calls, and scheduling. The successful candidate will have a genuine passion and enthusiasm for helping to address social inequities. Qualifications

Minimum 5 years of experience working in complex organizations; proven commitment to social and racial justice issues preferred. This position requires a minimum of 3 years of experience in executive-level administrative support
Bachelor’s degree or higher preferred. Equivalent combination of education and experience sufficient to successfully perform the essential job duties may be considered
Demonstrated excellence in oral and written communication. Ability to communicate with a high level of cultural fluency to engage diverse work groups, communities, and a wide range of institutional partners. Strong interpersonal, written, and verbal communication skills is required
Excellent organizational skills with strong attention to details are required. The ability to multi-task various assignments, prioritize work, and adjust to multiple demands. Comfort working under pressure and tight deadlines
Uses good judgment and discretion in determining matters of importance and information of use; provides, denies or asks for information in a tactful and friendly manner; uses discretion in releasing information regarding internal matters to anyone is required
An intuitive ability to recognize and appropriately convey the sensitive nature of any situation and the ability to keep all matters appropriately confidential is mandatory
Proven ability to interact well at all levels of an organization; able to work independently and/or as part of a productive team; has the capability to take initiative and follow assigned duties through completion
Experience using MS Office and its Word, Excel and Outlook functions. Proficiency with conference calling, online communication (skype, google hangout, etc) and webinar technologies.
Provide coordination/administrative support on a wide range of initiatives being led by the Executive Director.
Maintains the Executive Director’s calendar; schedules all internal and external meetings, including all necessary information and materials required for such meetings. Ensures that preparations for meetings are made in a timely manner.
Coordinates travel for the Executive Director by specifying times, dates, ground transportation, etc., and arranges accommodations during travel. Prepares internal expense reports and external letters for expense reimbursement from other sponsoring organizations.
