Assistant To The President – The Giving Back Fund Inc – Los Angeles, CA

The Giving Back Fund is a nonprofit organization that provides philanthropic consulting, management and administrative services to professional athletes, celebrities, high net worth individuals, corporations and others who desire to “give back”. Our President is a very high energy individual whose primary role is networking with new and existing clientele, and providing big picture consulting advice.

We have an immediate opening for a HIGHLY organized and confident individual to manage our President’s affairs – his schedule, his “to do” list, his contacts, his files, his email, his travel planning, etc. He receives literally hundreds of emails per day and is constantly pulled in many directions. You will be responsible for shielding him from as many day-to-day details and distractions as possible and keeping him on task as to his big picture priorities. This key role requires significant experience in fast-paced environments with a variety of executive personality types.

This is a full-time+ position requiring a committed and dedicated individual who desires to become a long-term member of our awesome team. As a non-profit, this position is ideal for someone who does not need to maximize their income, but rather is seeking to find fulfillment by being involved with an organization involved in various meaningful projects. Job Tasks and Responsibilities

The majority of your time will involve working very closely with our very busy President and simply organizing him and managing his affairs. Duties include, but are not limited to:

Providing daily itineraries as well as appointment and task reminders throughout the day
Screening phone calls, emails, etc.
Communicating with multiple individuals and entities on his behalf, including but not limited to prospective and existing clients, donors, board members and other friends and stakeholders
Internet research on prospective clients, partners, etc.
Arranging travel, and managing travel rewards accounts (including researching and booking flights, hotels and rental cars and handling other travel logistics with a view to minimizing expenses)
Tracking financial expenditures, including receipt collection, reimbursement follow ups, charge contesting and credit card reconciliation
Researching and arranging speaking engagements and networking opportunities
Assisting with problem solving with various vendors
Coordinating and confirming appointments and attendance at events
Maintaining an electronic filing and contact system

This position will be stationed at our front desk and also handle the following general administrative duties, including essentially acting as office manager under the direction of our COO:

Answering phones and screening calls for all personnel
Providing information in response to public inquiries
Collecting and distributing mail
Maintaining the office, including organizing paperwork and files, ordering office supplies and troubleshooting office equipment
Managing relationships with office-related vendors
Keeping the office tidy and actively creating an overall pleasant work environment
Assisting the bookkeeper with copying, filing and reconciling monthly company credit card statements
Coordinating our internship program
Assisting with the planning and coordination of events, and participation at key events
Various other tasks and projects as may be requested

Candidate must already live in the greater Los Angeles area – the closer to LAX the better.
