Administrative Assistant – Wildlife Rescue and Rehabilitation – Kendalia, TX

This position works under the supervision of the Executive Director (ED) and supports the day-to-day operations and assigned programs and projects.

Assistant duties

Assists ED with all administrative tasks
Assists with organizational literature, business cards, general organizational inquiries
Assists with special events: editing flyers and other communications, copying, ordering supplies. May assist with WRR communication functions including social media (Facebook, Twitter, etc.), alerts, e-newsletters, newsletters, and website.

Business Operations:

Organizes Accounts Payable, including processing employee expenses, providing end of the month reports and coding spreadsheet to the external bookkeeping vendor.
Provides accounts receivable support to Development Coordinator as needed, particularly on-line donation information, and data entry to databases (e.g. Raiser’s Edge).
Manages vendor accounts: including but not limited to: feed, building supplies, phone, utilities, rent, website, health insurance, and liability insurance

Human Resources

Submits bi-weekly payroll
Creates initial HR folders and on-boarding and exit paperwork, including insurance enrollment.
Processes and files employee agreements

Document Control

Responsible for overall administrative document control and maintenance of electronic files (Dropbox, file sharing).

Board of Director Meetings

Assists ED and Board Chair with document preparation as needed

Software Skills: MS Excel, MS Word, MS Powerpoint – Intermediate; DropBox: Beginner to Intermediate; Insurance forms and processing: Beginner to Intermediate

Qualifications:

Prefer minimum of three years of administrative experience.
High attention to detail
Possess good writing skills
Ability to work with others to meet deadlines and achieve goals
