SVN is seeking a collaborative self-starter to support executive leadership and manage office administration, including database management, front-desk reception, daily office operations, and conference preparation tasks. The person in this role provides critical operational assistance to all SVN team members, who rely heavily on the Administrative Assistant to deliver reliable and consistent support. We have a small and cooperative team, united by the core values of integrity, respect, inclusion, and teamwork. The Administrative Assistant will report to the Finance and Operations Manager and will work closely with the Executive Director.

Key Responsibilities:

Administration and support for highly collaborative staff of 8-10 to ensure that day-to-day office operations run smoothly (answer incoming calls, manage mail, inventory and order supplies, maintain office equipment and backend IT systems, serve as liaison with building management, etc.)
Ensure that the Executive Director’s office functions flawlessly by arranging travel, scheduling meetings, managing Board docket production, and coordinating other executive support tasks
Provide friendly, professional support to SVN members (field member requests, support member services team, assist with mass mailings)
Maintain SVN database (data entry, data hygiene, and reporting)
Provide logistics and administrative support for national conferences and local events (coordinate staff travel, manage supplies inventory and shipping, assist with event registration and hotel booking, manage on-site technology and office equipment, support preparation of conference materials)
Assist with special projects as needed to support other departments

Qualifications and Skills:

Strong project management skills and attention to detail with a demonstrated history of managing multiple, competing priorities
Excellent time management and communication skills (written, verbal, and proofreading skills)
Proficient technology/IT skills, experience with Google Apps, Microsoft Office, and Mac computers (experience with A/V systems a plus)
Demonstrated Salesforce skills, both in data management and customization
Comfortable exploring new technologies and applications
Professional, flexible and collaborative, with a strong work ethic
Knowledge of mission-driven business and/or social enterprise (passion for SVN’s mission a plus)
