Administrative Assistant – National Crime Prevention Council – Washington, DC

SUMMARY

The Administrative Assistant will contribute to the effective day-to-day operations and overall growth of NCPC’s Training and Technical Assistance deliverables and the National Crime Prevention Membership Association. This person will provide administrative support and coordinating information, record keeping, filing and computer-based data systems. The incumbent will also respond to public information requests, draft and proofread correspondence, reports and proposals, and manage the workflow, and travel logistics.

ESSENTIAL FUNCTIONS

Receive, screen calls, and respond to email; take message; and respond to (or route to appropriate personnel) public requests for information about the project (or organization).
Assist with logistics, participant materials, and follow-up activities for all trainings and conferences.
Assist with the process of certification applications for the National Crime Prevention Specialist.
Conduct research and contribute to the development of publications, grants, and locales where the trainings will be held
Manage registration of all trainings and the National Crime Prevention Association’s membership..
Assist web developer with web content for the department’s web pages including writing crime prevention blogs.
Type and draft general correspondence and materials.
Proofread copy for spelling and grammar, making appropriate changes.
Make travel arrangements and handle logistics for internal and external meetings; prepare documents and conduct appropriate follow-up activities related to meetings and activities.
Organize/orchestrate large mailings.
Process invoices and consultant expenses to ensure timely and accurate payments; track and monitor financial and contractual records.
Assist project manager in creating a variety of Office Suite 2000 documents (e.g., PowerPoint Presentations, Microsoft Publisher, etc.)
Assist the Managing Director with administrative tasks as assigned (e.g., office management, special projects, follow up on email, spreadsheets and tracking tasks)

EXPERIENCE & EDUCATION

High School diploma or GED. Associate’s degree preferred.
12 months of consecutive work experience performing Administrative Assistant duties in busy office, preferably nonprofit.
Ability to prioritize work and meet deadlines.
Must type 45 WPM. Off-site test required.
Must be able to copy-edit and proofread. On-site skills test required.
Excellent written and oral communication skills. On-site writing test required.
Intermediate knowledge of Office Suite 2000 (Outlook, Word, Access, Excel, Microsoft Publisher and PowerPoint).
Must be organized and detail-oriented.
Ability to handle multiple projects/tasks.
Demonstrated experience in managing data and information flow.
Strong interpersonal skills and ability to work with diverse individuals, groups, and as part of a team.
