Administrative Assistant – Homestead Community Land Trust – Seattle, WA

ORGANIZATIONAL OVERVIEW

Homestead Community Land Trust empowers individuals, stabilizes families and strengthens neighborhoods through financial education and by creating and preserving affordable homeownership opportunities for low- to moderate-income (LMI) homebuyers in the Seattle area. Homestead assists LMI buyers in achieving their homeownership dreams, develops affordable homes, supports homeowners’ ongoing success and stewards the ongoing affordability of the homes in our portfolio. BASIC FUNCTION

Provides support and office management for 8-person office, with emphasis on bookkeeping, database support and other data entry, event and meeting coordination, and general administrative duties. Works with a variety of supervisors and contributes to the successful accomplishment of Homestead’s mission. Reports to the Finance and Operations Manager and work directly with Executive Director.

RESPONSIBILITIES AND DUTIES

Bookkeeping

Enter and manage Accounts Receivables and Accounts Payable in QuickBooks in a timely and accurate manner
Process, mail and track invoices and payments
Assist with deposits
Assist with preparing and maintaining payroll information
Work with Finance and Operations Manager to prepare information as required for preparation of annual audit, Form 990
Assist Executive Director, Treasurer and Finance and Operations Manager with preparation of financial statements for monthly Board and Finance Committee meetings and as otherwise requested
Assist in the donation reconciling process.

Data Entry and Management

Donation processing, tracking and reporting in Salesforce
Homebuyer, homeowner and property documentation (includes data entry, scanning and filing)
Prepare annual property tax calculations
Distribute and collect monthly lease fee invoices

Administrative

Serve as an ambassador for the Homestead’s name and mission
Greet and provide customer service to stakeholders as they enter the office and at functions
Answer telephones and manage the organization’s telephone system
Collect, sort and distribute all daily incoming mail
Ensure website is current and up-to-date.
Respond to website/email requests for information
Maintain schedule, notify all participants, track attendance, and arrange facilities and amenities for meetings, including but not limited to Board and committee meetings;
Ensure all office equipment is functioning as required and with service contracts where appropriate;
Maintain sufficient supplies to support the office needs and within budget
Serve as contact with landlord, cleaning service, software and other vendors
Assist with document/form creation and file management
Assist with mailings and special projects as needed
Assign and manage tasks of volunteer(s) recruited to assist with office support
Other duties as assigned

ESSENTIAL QUALIFICATIONS

A successful candidate will demonstrate the following:

At least two years prior administrative/bookkeeping experience, preferably in a nonprofit;
Ability to handle fiscal information with sensitivity and integrity;
Proficiency in QuickBooks, Salesforce and Microsoft Office (Word and Excel); online website content management systems
Excellent organizational skills and attention to detail
Ability to meet deadlines while multi-tasking
Ability to work both independently and in a team
Excellent interpersonal and communication skills
Fluency in English language
Commitment to supporting low- to moderate-income persons in their goals for homeownership

Multilingual fluency desirable
