Administrative Assistant / Data Specialist – California Child Care Resource & Referral Network – San Francisco, CA

ABOUT THE NETWORK: The California Child Care Resource and Referral Network (Network), a nationally recognized non-profit membership organization, addresses the needs of parents and child care providers throughout California. The Network works with local child care resource and referral programs (R&R), divided into four regions: North, Greater Bay Area, Central Valley, and South, to inform parents and the general public about quality child care, assist child care providers to serve their communities, and encourage positive policy changes on the local, state, and federal levels.

ABOUT CCIP: The Child Care Initiative Project (CCIP) is a quality improvement project, funded by the California Department of Education, Early Education and Support Division (CDE/EESD). CDE/EESD contracts directly with local R&Rs throughout California to improve quality child care by recruiting, training, and supporting potential and existing licensed family child care providers. The Network is contracted by CDE/EESD to provide training and technical assistance to local R&R staff on the implementation of their local contracts.

POSITION AVAILABLE: Administrative Assistant/Data Specialist

.75 FTE – 28 hours per week/Non-Exempt

$30,000 – 33,660 FTE Annual Salary – D.O.E.

POSITION OVERVIEW: Data Specialist will work .75 FTE with the Provider Services Manager and CCIP team and team members. S/he helps produce accurate, high quality CCIP reports for CDE/EESD and other relevant projects. S/he will assist staff at member agencies with CCIP Database questions, assist with the development of the database manual, and will provide training and technical assistance as needed. The Data Specialist will also format CCIP training materials, update the project website, and create and send the monthly e-newsletter. S/he will provide administrative support including mailings, faxing, filing, etc.

JOB RESPONSIBILITIES

Collect, clean and aggregate data from the CCIP Database and Formstack into Excel.
Create surveys using SurveyMonkey and Formstack and collect and clean survey data to create reports and infographics for statewide distribution.
Maintain provider services public webpage as well as the files located in the resource sharing platforms, Evernote and Dropbox.
Compile and input Network provider services data for reports to CDE/EESD.
Work closely with the reporting group of the CCIP team, which includes multiple out-posted staff throughout California.
Assist with the development of database user manuals, resources, and trainings, as related to data tracking, collection, and reporting for Provider Services.
Format CCIP training materials using Adobe InDesign and Word
Design, format, edit, and disseminate the monthly e-newsletter using MailChimp.
Perform administrative tasks including filing, word processing, and departmental database and resource management.

QUALIFICATIONS AND EXPERIENCE NEEDED:

Excellent communication skills, oral and written.
Strong organizational skills including attention to detail.
Ability to work well in a fast-paced, team setting.
Experience entering and retrieving data in databases and spreadsheets.
Demonstrated experience in basic MS Office applications.
Knowledge of using the Internet for gathering information.
Administrative experience required: filing, faxing, copying, word processing, note-taking.
Familiarity with Formstack, Adobe InDesign, website programming, and developing infographics a plus.
Bilingual English/Spanish desirable.
Experience/knowledge of the child care/human services field desirable.
