Administrative Assistant – Archway Programs

Archway Programs in Atco, NJ is a private, non-profit human services organization serving people with special needs ranging from infants and young children through adults and senior citizens. Archway serves over 1,800 consumers in Burlington, Camden and Gloucester counties. We strive to improve the life of every individual we serve.

The Step by Step Early Intervention Program is committed to creating partnerships with children and families to foster and encourage the development of infants and young children with developmental delays.

Just Kids school-age child care (SACC) is provided by Archway Programs in cooperation with the Superintendents and the Boards of Education in fourteen school districts in South Jersey. Archway has over 20 years of experience providing before and after school care in schools in Camden, Gloucester and Salem counties.

Archway Programs is looking for a full-time Administrative Assistant to expedite the coordination of billing and assist with daily office workflow to assure timely delivery of service for the Step By Step Early Intervention program and to provide assistance to the business operations of the Just Kids program to ensure effective customer service and business operations.

Specific duties and responsibilities:
Step By Step
Collects and prepares all incoming evaluations and assessment paperwork for billing processing
Assists with the scanning, saving, and uploading of documents to the database
Assists with preparing charts/documents and assigning to proper staff
Participates as a team member in the completion of general office duties including such items as filing, answering phones, copying, mail pick up and typing
Fulfills medical records requests
Orders office supplies
Completes monthly incident report for Risk Management meeting
Just Kids

Provides back up or substitution to other administrative assistants within the Just Kids billing office
Provides phone customer service directly to customers as needed
Provides weekly updates to school district regarding changes in busing needs for students
Conducts account audits to ensure accurate billing and collections
Assists with registration of customers to camp and Just Kids program

Knowledge, skills and certifications required:
High school diploma
Computer skills (Excel, Word, graphics)
Customer service skills
Basic accounting
Excellent written/communication skills.
