Special Events Associate – The Horticultural Society – New York, NY

The Horticultural Society of New York seeks a dynamic individual with a passion for special events and strong motivations to work in a revered organization with enormous potential for growth at a time of momentum. The Special Events Associate reports to the Deputy Director and works closely with the Executive Director and Board committees to plan and execute 3-4 major fundraising events raising over $1 million annually, and is responsible for managing a variety of donor cultivation events and a calendar of activities and appeals to expand and diversify funding and Circle membership. This position works collaboratively with the Membership and Programs Associate.

Essential Duties and Responsibilities:

Plan and execute annual Spring gala, Fall luncheon, and Holiday and Winter children’s bashes, and other fundraising events

In collaboration with Membership and Program Associate, plan and execute Circle cultivation lunches and workshops for members and for their children.
In collaboration with Membership and Program Associate, conceive of and develop creative content for Circle programs and communications
Help secure and act as liaison with honorees and speakers
Help secure corporate sponsors and related partnerships to increase revenue
Serve as direct liaison with Special Events and Membership Committees, including scheduling, and follow-up
Serve as contact with vendors on event-related matters
Manage the design, copy and production deadlines for all event collateral including invitations, program signage, etc.
Secure in-kind donations for auctions
Manage related budgets; prepare check requests, invoices, etc.
Maintain accurate mailing lists and design segmented strategy for all outreach
Manage seating arrangements
Recruit and manage event volunteers as needed
Develop and execute with key staff follow-up communications including cultivation materials, marketing collateral, and appeals
Leverage and maintain systems and tools used to track donors, prospects and client information for management and Board reports
Prepare reports for Board and Committee meetings

Qualifications:

Bachelor’s Degree, minimum
3+ years of event management experience, preferably in a cultural organization
Excellent written and verbal communication skills and impeccable follow-up
Superior organizational skills, accuracy and precision in handling timelines and details

Ability to prioritize and work in a fast-paced environment and to juggle multiple projects
Computer proficiency with Microsoft Office programs and database management systems such as Raiser’s Edge
